This recruitment will be used to fill one full-time Office Specialist 2 position for Team Oregon at Oregon State University (OSU).
Team Oregon is responsible for the design, implementation, and management of state-approved motorcycle rider training and education programs in Oregon. This includes the development and oversight of training sites statewide, procurement and distribution of materials and equipment, scheduling rider training courses and enrolling students, conducting rider training courses and quality assurance monitoring, training and certifying instructors, managing program budget and instructor payroll, forecasting and evaluating program activities.
All new riders in Oregon are required to complete an approved motorcycle rider training course to qualify for a motorcycle endorsement on their driver license. Team Oregon basic and intermediate courses are the only courses recognized by the state to meet that requirement; annual enrollment is 9,000-11,000 students per year. The completion certificate is honored by DMV, the Oregon military which requires riders to complete an approved course and Oregon insurance companies which provide discounts to course graduates in Oregon.
This position is responsible for providing administrative support for internal and external customers including staff, students, instructors, sponsors, partners and dealers; provide up-to-date information about programs to internal staff for use in planning, organizing, recruiting, and management needs. The position will assist the Training Support Unit (TSU) Manager with course scheduling, reporting and instructor travel, and payroll.
Assist with coordination of course schedules including reviewing weekly schedule and making the initial determination to run classes; coordinating military registrations and payments; working with students with disabilities; instructor travel and payroll; processing in-coming and out-going course files; and Team Oregon Call Center support.
Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR An Associate’s degree in Office Occupations or Office Technology; OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience. College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.
Must be proficient with computers, word processing, spreadsheets, and databases.
Requires the ability to operate multi-line phones, printers, copiers, and fax machines.
Excellent organization skills and ability to prioritize and meet deadlines.
Must be self-directed and able to work independently.
Ability to use good judgment.
Strong customer service skills and ability to interact with both external and internal customers.
Excellent verbal and written communication skills.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a Criminal History Check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in Youth Programs may have additional Criminal History Checks every 24 months
