Advising Success Center Support/Test Proctor Coordinator

APPOINTMENT TYPE: Unlimited, Part-Time (.8 FTE)
WORK DAYS & HOURS: Normal work days & hours are 8:00 am – 4:30 pm Monday-Friday. This position will be off during the following time of the calendar year: BSU Spring Break; Off for the Month of May following BSU Commencement Ceremony; off Mondays and Tuesday during the months of June and July; Off 10 days between BSU Fall and Spring semesters.
POSITION PURPOSE: The purpose of this position is to coordinator test proctoring in the Student Success Center and provide administrative support and customer service for the Advising Success Center and other directors in the Student Success Center.
1. Coordinate test proctoring services in the Student Success Center.
Coordinate, oversee, and in some cases, provide direct service, primarily relating to organization and scheduling of test proctoring in the Student Success Center. Act as a proctor for students who require various forms of testing and oversee or provide direct service as a reader or scribe as part of the accommodations process.
Manage proctor email and calendar account to ensure confidentiality of tests.
Assure accurate recording, tracking, and documentation of scheduled tests.
2. Provide detailed procedural information and assistance on behalf of the Advising Success Center.
Respond to inquiries, answer customers' questions and resolve their problems by applying multiple procedures and guidelines.
Provide information to callers and visitors; schedule appointments and route customers to the appropriate professional.
Assist customers in completing office forms and application materials; provide referrals for student to obtain assessments and diagnostic information; summarize information from callers and visitors as an aid to other staff who can follow-up and respond.
3. Hire, train, and provide lead work to student employees in the Student Success Center.
Recruit, interview and select student workers with the requisite skills.
Organize and prepare student worker schedules and act as lead person for student-workers. This includes being a resources for student workers in the Student Success Center who staff the front desk.
4. Provide administrative support to the operation of the Advising Success Center.
Manage and input student information into databases for use in management decision making.
Enter academic advisor and accommodation information onto the appropriate screens of the Integrated Statewide Records System (ISRS).
Monitor budget expenditures and make recommendations for multiple cost centers. Process purchase orders and special expenses in a timely manner; order supplies and manage office equipment. Manage student worker budgets.
Skills in managing calendars and scheduling appointments and tests sufficient for the proper coordinating of test proctoring and student appointments.
Ability to use customer service and problem solving skills for on the phone, in person, and online interactions with others (this requires common courtesy, tact, interest in positive problem solving, empathy, and the ability to organize ideas logically)
Knowledge of general office equipment and procedures such as basic math, typing, data entry, reporting for management's use, and related duties.
Ability to analyze and make recommendations to management for new or revised administrative and program practices and procedures for smooth and efficient office operation
Knowledge of English sufficient to fluently speak, read, understand, and respond to a variety of written and spoken communications, such as customers' questions, and to present clear and concise explanations of governing rules and regulations
Skill in training and guiding the work of student workers to ensure adherence to quality standards, deadlines, and proper procedures, while correcting errors or problems
Skill in using word processing, spreadsheet, and other software applications to prepare reports, letters, and case histories.
Maintain the confidentiality of private information according to law, rules, policies and procedures
Experience with ISRS and Hobson's or similar databases.
Accounting or bookkeeping experience and skills sufficient to create documents for billing, collection and deposit information.
Experience in similar administrative support position
Demonstrate a knowledge of, an interest in, or experience with, diverse cultures and populations
