The Development Coordinator and Board Liaison plays a strategic role in supporting the fundraising efforts of Openlands by providing administrative support to the department, President & CEO and the Board of Directors. This position reports to the Director of Development.
Gift and Grant Processing/Acknowledgement
Process all gift types daily, maintaining established procedures and standards for grant agreements, pledges, tribute gifts, matching gifts, etc.
Reconcile daily batch reports with the Finance Department.
Track grant proposal and report deadlines and set reminders for program leads as appropriate; prepare supporting documentation for grants as needed.
Prepare and execute acknowledgement letters in a timely fashion.
Liaison to the Board of Directors
Assist the President & CEO and Executive VP of Programs to prepare and distribute agendas and documents for Board and Executive Committee meetings.
Support the board chair in all aspects of their role.
Record attendance and minutes for all Board of Directors meetings and some committee meetings.
Provide support to VP of Development in staffing the Development and Governance Committees.
Execute established procedures for board recruitment, election, on- and off-boarding.
Annual Fund and Donor Database
Maintain donor paper files and database: adding new constituents, updating contacts, running standard reports and extracting mailing lists.
Working closely with VP of Development, implement systems for tracking major gifts work in database including contact reports.
Utilize database knowledge and gift trends to support Manager of Individual Giving with direct mail and annual fund strategy, execution and analysis.
General Administrative Support
Maintain department calendar. Track and coordinate all major development activities, including key meetings, solicitations, invitation drop dates and events.
Prepare briefings and reports for the information of the President and CEO as background for meetings.
Assist with other special projects as needed.
Event Planning and Execution
Support the Manager of Individual Giving and Special Events in the planning and implementation of special events including but not limited to the Annual Luncheon, Leadership Circle Luncheon, Green Legacy Society event and other cultivation and stewardship events as needed.
Effectively manage RSVPs for Annual Luncheon and other special events.
Knowledge, Skills and Abilities
2-3 years of fundraising and/or event planning experience preferred
Strong written and verbal communication skills
Excellent interpersonal skills
High level of professionalism with the ability to maintain sensitive and confidential information
Exceptionally organized, detail-oriented and able to manage multiple complex tasks
Strong project management skills
Proficient in Microsoft Office required
Experience in donor database software preferred
Experience in events management preferred
BA/BS Degree preferred
Loop office is ADA accessible.
This role routinely uses standard office equipment such as computers, phones, and scanners. Employee is regularly required to talk, hear, see, and communicate effectively via computer.
