This is a full-time, Classified, CWA position, and hours of work and days are Monday through Friday, 8:30 a.m. to 4:30 pm. Occasional evening and weekend work may be required as job duties demand. Note: This position is in the “NE” category of employment (non-fixed work week). The compensatory time policy for NL employees below applies to “NE” employees up to 40 hours per week. Beyond 40 hours, the overtime policy for fixed workweek employees applies (i.e., rate of time and one-half in payment or compensatory time).
Salary Range P21: $53,611.76 - $58,564.88

The Special Assistant to the Provost reports to the Provost and is responsible for maintaining efficient operation of the day-to-day office needs and providing support/advice to the Provost.
Manages the Provost’s calendar, using discretion and with minimal supervision while maintaining open dialogue with Provost.
Provides day-to-day support to the Provost in preparation for meetings and other activities.
Assists with setting agendas and gathering information for Provost’s meetings, participates in meetings as designated note taker as needed, and organizes the notes on a digital platform.
Maintains essential records and files in an organized fashion to ensure that relevant information is available to the Provost at any time.
Reviews, interprets, prioritizes, and responds to communications received by the Provost.
Assesses, prioritizes, and monitors progress regarding the Provost’s daily to-do lists.
Alerts the Provost to deadlines, matters of urgency, or other matters that require the Provost’s attention.
Conducts research on issues related to policy, public appearances, inquiries and protocol and historical matters as needed and directed by the Provost.
Maintains system of alerts and ensure deadlines are met, working with Assistant Director of Academic Affairs to develop processes and procedures that ensure timely follow through by units reporting to Provost.
Provides technical support and serves as liaison with ITS to direct technical support for Provost.
Assists the Provost on projects which require a high degree of confidentiality, and discretion.
Demonstrates a high level of professionalism, initiative, and independent judgement in supporting the Provost.
Provides support with faculty, students, and/or staff meetings with the Provost.
Identifies opportunities to update and improve processes and technology.
Uses various office systems and software, including Banner, Adaptive Insights, Microsoft Office Suite (Word, Excel, Access, PowerPoint), organization chart, flow chart, e-mail and voice mail.
Perform other duties as assigned.
Graduation from an accredited college with a Bachelor's degree.
Two (2) years of professional experience in different aspects of administration and business practices, higher education or related field. Preference given to experience supporting a senior executive.

Working knowledge of public higher education, shared governance, and the breadth of responsibility of a Provost/Vice President of Academic Affairs highly preferred.
