Position Summary: We have an exciting opportunity to join our team as a Executive Assistant to the VP.
In this role, the successful candidate will provide complex daily administrative support, coordinates meetings, maintains schedule of calendar, and assists in preparing department materials.
Coordinates administrative and personal support for the VP for Emergency Management and Enterprise Resilience and the Assistant VP for Policy and Administration.
Ensure the completion of tasks, maintain and improve workflow level and processes, and ensures that services are provided in an effective and efficient manner as requested.
Plans conferences, maintains calendar, reads and answers correspondence, manages T&E, develops documents for presentation and meetings, maintains documentation, file materials and manages data entry as requested.
Schedules appointments, meetings and personal appearances. Cancels meetings based on knowledge of the subject and attendees.
Recognizes and identifies information that can be disseminated and to whom, assists with special events planning. Organizes travel/logistic arrangements and itineraries as needed.
Communicates as directed with senior executives, administrators, and others on the behalf of supervisors.
Processes all outgoing communication in the form of emails, letters, voice messages or other forms of communication.
Provides information, consultation and advice as requested on technical, systems-related, or process-related topics. Meets and greets institutional colleagues, answers phones, provides information and processes messages.
Communicates with persons outside the organization on supervisors behalf.
Prepares and proofreads memos and reports.
Prepares correspondence and documents independently from rough drafts, corrected copies, voice recordings, previous versions based on knowledge/research of relevant topic/professional field to correspondence and documents.
Ensures that institutional format policies are followed and carries out recommended revisions.
Responds to requests for information, summarizes and data based on information compiled from various sources.
Files and retrieves documents, records as needed. Maintains correspondence and filing system
May perform Human Resources related functions, resolving routine and non-routine issues and concerns.
Interfaces with Supervisors to facilitate space needs, maintain needed supply levels and equipment
Participates in special projects and performs other job related duties as required.
May have fluctuations in daily work hours (start/stop times) when needed for project supervision or completion.
Minimum Qualifications: 1. Associate's degree with a minimum of 3 years of progressive responsible administrative experience or equivalent combination of education and experience. 2. Effective oral, written skills including knowledge of grammar, spelling and punctuation, tact, diplomacy and interpersonal skills. 3. Time management skills and be able to work well under pressure. Maintaining a professional and positive attitude while effectively meeting deadlines. 4. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, Power Point and Outlook. Familiar with Internet applications. 5. Good organizational skills, with the ability to handle variety of projects simultaneously and prioritize effectively while paying attention to details. 6. Ability to handle difficult people pleasantly when necessary. 7. Active Listening, Judgment and Decision Making skills 8. Ability to interact effectively with all levels of management and must work and communicate effectively with both internal and external customers. 9. Knowledge of modern office standard practices and procedures.
Preferred Qualifications: Experience with executive administrative support
