The transitions function provides an Operations-focused transitions service. Working closely with Client Services and Investment Operations, the team ensures operational readiness for transition date and manages the related update of Newton accounting records. The team also undertakes a variety of, mainly custody-related, tasks in support of Investment Operations.
The Transitions Manager supports the function to ensure that all allocated work and incoming issues are dealt with without risk to the company, in an efficient manner and to the satisfaction of all internal and external clients.
In addition this role will undertake a share of the Business Administration Manager role in order to provide cover in this area whilst the incumbent returns to work on a reduced hours basis for one year.

Manage the day-to-day work of the transitions function within the Investment Operations team (including, but not limited to, the tasks detailed in the following bullets). This includes carrying out any team task as and when volumes / deadlines dictate. Ensure that effective checklists and procedure documents are in place where appropriate and that a culture of continuous process improvement exists.
Undertake the transition service for all transition types (new business, lost business, custody transfers and In Specie Transfers) across the Newton client base.
Work closely with the Client Services and Investment Operations teams to ensure all transitions are completed in line with client requirements and deadlines. Ensure operational readiness and update of the Newton accounting records (QUASAR) on transition date.
Co-ordinate the implementation and monitoring of the Newton 'Transition Control' process.
Raise, check and authorise transition-related QUASAR stock and cash transaction instructions.
Build and maintain relationships with client-appointed third parties, such as custodians and administrators.
Undertake other transition-related support tasks, projects and query handling.
Maintain custody-related operational records e.g., Authorised Signature Mandate, Standing Instruction records, Non-Standard Process records and provide a central contact point for custodian contact where needed e.g., custody proprietary system administration, co-ordination of Investment Operations-wide custody related issues.
Contribute to the oversight of any transitions related task that is being performed by a Provider (Outsource Provider, Service Provider or Shared Services group). This includes undertaking the task during business continuity events or tests.
Represent the transitions function in meetings (internal and external) when required and demonstrate effective relationships with other Newton and BNYM areas.
Produce Management Information and Compliance reporting (and ad hoc reporting to any other business area) for the transitions function to the required standard and within the appropriate timeframes e.g., monthly management sign-off packs, team statistics and trend analysis. Provide input into audit and control processes (internal and external auditors of Newton) on behalf of the team.
Complete the annual BNYM performance appraisal process for transition function personnel.
Complete a selection of Business Administration team responsibilities (including, but not limited to, the tasks detailed in the following bullets):
System User Access Reviews - ensure user access for every system/app in place at Newton is reviewed on at least an annual basis and that the required attestations are received from system owners.
Employee Personal Information - oversight of Employee Data processes and management of related projects. Note: this will involve working with Business Administration Manager to agree a share of administrator resource.
COO Office Support - undertake adhoc tasks as assigned by COO and Head of Operations e.g., Continuous Knowledge Share training, administration of Summer Analyst Programme, development of OAOG SharePoint site.
Job Specific Competencies:
Attention to detail and ability to effectively follow-up and resolve matters
Extensive experience and general knowledge of investing, fund accounting, trust operations and investment regulations required.
Exceptional interpersonal and communication skills, proven excellent oral and written communication skills and quantitative skills.
Graduate degree in business, economics or similar advanced degree desired.
