Description of Duties and Tasks:
Coordinates office operations and communications for the Math, Sciences, Technology and Business (MSTB) division and supervises administrative employees in the division offices. Applies and interprets policies and procedures governing College programs and services. Insures for coverage of following tasks within the division, as needed: Assisting the Associate Deans, faculty and staff of MSTB Division with the day-to-day operations of a busy office; Assist with schedule entries and class cancellations, assembling and completing proper college forms. Managing the calendar; Assisting with communications and correspondence; Monitoring the office budget; Recording minutes of staff meetings; Maintaining organized and secured files— either on-line or in paper format; Assisting with adjunct faculty hiring paperwork and contracts; Scheduling space for meetings, training and workshops; Purchasing supplies for the faculty and staff; Provides general administrative support for full and part-time faculty; Processing textbook orders for each semester, contact publisher for complimentary desk copies, assist faculty in verification of student prerequisites and course eligibility; Monitor missing grade reports and notify faculty and the Associate Deans; Assisting students by accurately responding to their requests for information concerning class schedules, course prerequisites, adds/drops/withdrawals, registration and faculty office hours; Serves as liaison between department and visitors.
Minimum Qualifications :
High school diploma with additional education, training, and/or experience in computer software applications. Significant number of years of related occupational experience.
Associate Degree; Knowledge of PeopleSoft software. Prior experiences with eVA and Chrome River. Experience in an academic environment. Prior experience with budgeting. Strong interpersonal skills with ability to interact with the public in a positive manner; Ability to work collaboratively and effectively with diverse students, faculty and staff; Ability to be flexible, resourceful and quickly adapt to change.
