General Statement of Duties: Responsible for assisting students and parents with tuition and fee bills, applying payments, optional fees and waivers, setting up installment payment plans and processing refunds. Receives and verifies deposits received from other departments.
Duties and Responsibilities: Duties include but not limited to: Essential:
Provides excellent customer service to students and parents regarding account balances, adjustments, refunds and Westfield State University policies and procedures.
Records and maintains credit and debits as they apply to student accounts.
Accurately applies payments, charges and waivers.
Prepares and balances daily bank deposits and cashiering sessions in Banner AR.
Performs various office tasks producing, distributing, receiving, logging and filing correspondence.
Receives and balances trust fund deposits.
Enters and retrieves data from Banner, Microsoft Word and Excel.
Requirements: Qualifications Required at Hire:
Knowledge of the standard procedures and methods followed in handling and recording cash.
Ability to perform arithmetical computations with speed and accuracy (addition, subtraction, multiplication and division).
Ability to understand, explain and apply the laws, policies and procedures governing assigned unit activities.
Ability to work accurately with names, numbers, codes and/or symbols.
Ability to understand, apply and explain complex financial policies and procedures.
Ability to exercise sound judgment and to exercise discretion when handling confidential information.
Ability to establish and maintain harmonious working relationships with others.
Qualifications Acquired on Job: Thorough knowledge of Ellucian's Banner Software including data entry and understanding of all student forms. Understanding of the interaction between all student service departments. Knowledge of WSU policies and procedures as they apply to students.
Minimum Qualifications: At least (A) two years of full-time, or equivalent part-time, clerical experience, the major duties of which involved cashiering, bookkeeping, account recording or the direct handling of funds received or paid out, or (B) any equivalent combination of the required experience and the substitutions below.
Substitutions: A diploma as evidence of graduation from a business or commercial course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.*
A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized non-degree granting business school above the high school level with a major in bookkeeping, accounting or business administration may be substituted for a maximum of one year of the required experience.*
A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business school above the high school level with a major in bookkeeping, accounting or business administration may be substituted for the required experience.*
An Associate's or higher degree with a major in accounting, business administration or business management may be substituted for the required experience.*
*Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
Additional Information: Salary: For the majority of new employees, the minimum starting salary will apply. Specific salary for current Westfield State University employees and individuals currently working for the state of Massachusetts must be calculated individually in accordance with collective bargaining and state policies and procedures.
