Reporting to the Executive Director, this position is responsible for all the finance tasks for the MEDscience program, and serves as a key member of the team also providing human resource and administration assistance, assisting with compliance with applicable federal, sponsor and University guidelines. The finance and grants manager is a liaison with other departments such as OFF, SPA, OSP, HR, and AAD. This person will provide direct financial, administrative and fiscal compliance support for the Department, including responsible for coordinating and monitoring budgets (program and individual grant), reconciling monthly expenses as well as budget preparation and financial reporting.
Provides direct administrative and financial support for the Department. Reviews and codes all financial transactions including accounts payable, purchasing card activity, internal billings/accounts receivable, reimbursements, monthly and annual account reconciliation, researching discrepancies as required and corrections to the general ledger. Assists in tracking gift processing.
Administers grants so that each funder can be shown how their contribution impacted the program. Keeps all funding files current by recording all contacts and following up with required reporting documentation
Reconciles accounts and monitors balances, administering appropriate university and sponsored research fiscal policies. Prepares monthly and yearly account reconciliation and financial reports including regular (monthly and yearly) and ad hoc. Manages accounting recordkeeping system and procedures for tracking and reporting.
Reviews complex documents, reports, etc., to assure compliance with University requirements and/or government regulations and notifies supervisor of unusual situations.
In conjunction with the Executive Director, prepares an annual program budget, forecast, and narratives. Meets with the Office of Finance for quarterly, annual and as needed check-ins. Prepare, administer, analyze, model, and forecast budgets to inform financial planning and decision making
Prepares varied financial reports (monthly, yearly, and ad hoc) requiring selection, preparation, and interpretation of data using university data query tools. Produces and reviews financial data and prepared forecasts as needed to serve as an information source on the status of funding accounts to the manager, for use in decision making and planning.
Maintains internal controls and safeguards for receipt of revenues, department spending, and financial policies and procedures.
Keeps PI apprised of developments in grants management and ensures financial compliance with federal regulations and university guidelines. Refines written materials and curriculum for teacher training, pedagogy evaluation, and other documents needed for program expansion
Prepares and reports to Advisory Board on financial status and trend analysis of Program.
Prepares various payroll documents (ETADS and salary certifications monthly), prepares payroll documents with new hires and assists with onboarding
Invoices vendors for a fee for service work after the MOU has been signed. May send out the MOUs at the discretion of the Executive Director.

Prepare special reports on an as-needed basis.

This is a term position through June 30, 2019, with the strong possibility of renewal.

Three or more years relevant finance or related work experience required.
College degree preferred.
