Under the general supervision of the Dean of the College of Education (COE) the Administrative Analyst assists in leading, developing, overseeing and supporting all the administrative and fiscal operations of the College. The analyst functions as the executive assistant to the Dean and is responsible for budget development, planning and coordination; operational and strategic planning; research, analysis and report generation; and coordination of administrative functions within the college and office personnel. ESSENTIALDUTIESANDRESPONSIBILITIES include, but are not limited to, the following:
Develops, maintains, uploads, and analyzes the College’s budget and coordinates the budget planning, tracking and management functions of the various units in the College. Acts on department budget allocations as agreed by the Dean and Department Chairs in a timely manner. Collaborates with Department ASCs on department budget-related matters. Develops budget and full-time equivalency (FTE) projections and planning tools at the Program, Department and College levels. Oversees the College’s budget development, analysis and reporting functions. Reviews all budget related documents for accuracy and necessary corrections. Identifies and initiates budget and expense transfers. Assists in the development of internal and external funding proposals.
Responsible for conducting analysis of FTES production at the College, Department, and Program levels and develops enrollment projections as these relate to the College budget. Conducts data analysis from variables available in CMS system, student data warehouse, and EdQ Data Dashboard, as directed by the Dean.
Collaborates with Department ASCs in tracking faculty and lecturer teaching loads and workload assignments and implements workload policy. Analyzes and coordinates the College course schedules in collaboration with department ASCs. Collects data and establishes, develops and maintains databases as necessary. Retrieves and analyzes Common Management System/Common Financial System (CMS/CFS) data related to scheduling, time block and enrollment for use for budget work at the College level.
In consultation with the Dean, develops and maintains complex annual Faculty and Lecturer Workload records, providing accurate current and projected FTE analysis. Oversees the campus/CSU system Faculty and Lecturer Workload projection documentation reports and associated time-block scheduling compliance.
Develops, maintains and analyzes college grant budgets as appropriate, and oversees grant budget tracking and management functions in coordination with department ASCs and staff in the College. Analyzes all grant related budget documents for accuracy and necessary corrections. Assesses grant budget expenditures and tracks faculty course release and relevant to grant-related workload assignments. Develops budget projections, analyses, and reporting functions, as appropriate.
Provides leadership, guidance and training on College policies and procedures to department staff and student assistants. Plans and develops programmatic operations for the departments as needed. Organizes, prioritizes and supervises all administrative work in keeping with the University calendar and deadlines.
Hires and supervises student assistants.
Performs other job-related duties and special projects as assigned.
On-going communications with university partners in Mexico and South America.
Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor’s degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Must possess and maintain a valid license to drive in the State of California, pass the Defensive Training Class, and be insurable under the University’s liability coverage.
May require occasional evenings and/or weekend work.
Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods. Requires travel between campus offices and off-campus locations.
