This position provides business operations support to the School of Medicine and the Dean's Office. It will be the main point of contact for internal departments at the School of Medicine and will be the building liaison for Volker campus for building related issues and maintenance such as oversight of the SOM mail room, scheduling for all rooms at the School, oversight and approval of space (including offices, research labs, and SOM lobby), coordinator of surplus items. In addition to operations of the School, this position will provide support to the Dean's Office relating to purchasing and travel for the Dean or Dean's executive staff.
Provides administrative support to Dean's Office including purchasing, travel coordination, scheduling, and communications to staff/faculty/student distribution lists
Serves as the Building Coordinator/Liaison for School of Medicine
Works with building services on building related issues, repairs, and/or renovations
Submits and tracks work order requests and the removal of surplus equipment
Oversight of space; including: room reservations, office/lab assignments, key distribution and building access
Writes/revises room reservation guidelines
Completes School of Medicine Annual Space Utilization Survey
Oversight of School of Medicine mailroom and mailroom personnel
Other duties as assigned
A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary
A Bachelor's Degree in Business Administration, Higher Education, or related field is preferred as well as 2-3 years working in business administration or an office setting. Preferred skills:
Proficiency in MS Word, MS Excel, MS Outlook
Proficiency in Adobe Acrobat
Knowledge of operating standard office equipment
Excellent communication skills –interpersonal, written and verbal
Strong time-management and organizational skills with great follow-through
Ability to prioritize projects with strong problem solving skills
Good attention to detail
Ability to work independently and as part of a team
Successful candidates should be flexible and open to change
Prior supervisory experience
