The UMKC Regional Professional Development Center (RPDC) is seeking a customer service focused Senior Office Support Assistant who is known for their problem solving skills and ability to learn quickly. The Senior Office Support Assistant will coordinate, conduct, and oversee operational aspects of the Regional Professional Development Center. Duties include, but are not limited to:
Provide daily management and assistance to the director and staff (consultant team) of the Regional Professional Development Center on short- and long-term projects including:
Selecting and scheduling meeting facilities
Overseeing accuracy and timeliness of expense reports
Reviewing and reconciling accounts/receivable reports
Preparing general correspondence
Ordering and stocking necessary materials and supplies
Ensuring maintenance and upkeep of office equipment
Provide administrative assistance to the center director
Communicate effectively with personnel in various departments, academic units, and administrative levels within the University system.
Assist in supporting the 15-20 training events provided by the RPDC each month:
Coordinate usage of facilities, services, and equipment
Open the facility, prepare for guests (coffee, technology, etc.)
Arrange professional development activities such as external speakers/consultants
Maintain accurate records and prepare reports as needed and/or requested
Monitor all expenses; maintain and reconcile detailed budgets
Assist/prepare budgets, grants, proposals and other crucial documents
Plan and oversee projects as assigned
Provide functional supervision to office support staff:
Coordinate department events
Develop and ensure implementation of efficient office procedures
Prepare and handle confidential documents
Bachelor's Degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.
Two years of program coordination or events operations experience is preferred
Extensive experience tracking and maintain budgets
Supervisory experience over administrative staff
Computer skills including intermediate to advanced proficiency in Microsoft Word, Outlook, Excel, and Publisher, as well as experience with PeopleSoft Financials and Procurement
