Assistant to the Vice President of Advancement (limited term) - 474012
The Assistant to the Vice President of Advancement serves as the primary point of contact for the Advancement Office for internal and external constituencies, handling complex, highly confidential and sensitive matters. The position provides administrative support for the Assistant Vice President of Development. The position is also responsible for the day-to-day administrative operation of the Office of Advancement, which includes the offices of Development, Alumni and Career Services, Advancement Systems, and the Foundation, Corporate and Government Relations. This role includes the oversight, planning, and execution of complex special projects and events. The position also includes regular interaction with major University donors and VIPs.
Manage the AVP of Development's office and calendar
Utilizing professionalism, discretion, tact, and courtesy serve as the first point of contact for the AVP of Development's office, answering phones and welcoming visitors.
Coordinate office supplies, including managing the pool of University vehicles for Advancement staff travel.
Sort and filter incoming correspondence for the office and the AVP of Development; respond to and/or route as appropriate.
Keep the AVP of Development apprised of important deadlines, events, assignments, and meetings by creating a master listing of recurring deliverables prior to the start of each academic year.
Book travel and prepare detailed itineraries for travel; reconcile travel expenses, and process reimbursements as necessary.
Under the AVP of Development's direction, coordinate with other campus stakeholders and offices to schedule remarks and departmental and committee meetings.
Manage CASE membership for the division.
Schedule meetings with major prospects, donors, and VIPs.
Assist the AVP of Development with the preparation of reports, materials, presentations, memos, correspondence, filing and other documents for distribution to a variety of audiences
Assist the AVP of Development with proofreading reports.
Assist the AVP of Development with preparation of materials for use at Board of Trustees meetings.
Draft correspondence for the AVP of Development and prepare letters for signature.
Assist the AVP of Development with preparing and planning presentations and speeches at internal and external events.
Using best office practices manage and organize the electronic filing system (Box) for documents related to the office.
Plan meetings and events
Plan and schedule Advancement division-wide meetings including reserving space, arranging catering, and assist the AVP of Development with agendas, programming, guest speakers, etc.
Coordinate campus visits with consultants, vendors, and special visitors including scheduling, booking accommodations, meeting space, and all logistics associated with visit.
Under the direction of the AVP of Development, plan, schedule and provide logistical assistance for events hosted or co-hosted by the AVP of Development
Lend assistance at Advancement events and activities, as needed.
Provide budget management for Advancement and assist with the preparation for all phases of the annual budget process.
Reconcile departmental travel and office expenses and monthly credit card statements for submission to Accounts Payable.
Knowledge of planning and scheduling techniques.
Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
Ability to work occasional overtime, including evenings and weekend events.
Word processing and/or data entry skills.
Ability to create, compose, and edit written materials.
Knowledge of office management principles and procedures.
Ability to coordinate and organize meetings and/or special events.
Ability to build strong relationships and networks with colleagues and departments across campus.
Ability to manage complex projects.
Ability to work independently, efficiently and accurately; perform duties with considerable degree of autonomy.

Ability to handle highly confidential information.
Expert skill level with Microsoft products, including Outlook, Word, Excel, and PowerPoint; and Adobe Acrobat is required. Experience with Raisers Edge preferred.
Ability to troubleshoot problems with office equipment and software programs.
EDUCATION & EXPERIENCE:
High school diploma or equivalent required; Bachelor's degree preferred.
Minimum 4+ years of administrative experience in a fast-paced environment, preferably in a higher education setting and/or supporting a senior level executive
This position is classified as limited term and will not exceed one year
SALARY STRUCTURE: Pay Grade 5 (Hiring Range $18.24 to $ 24.17 per hour)
