Prepares and handles all budget, travel and administrative issues for the Office of Government Relations, and Assistant Vice President for Strategic Planning & Special Initiatives.
Point of contact for travel request authorizations, conference registration payments, travel reimbursement reports, travel advances and exceptions to regulations as needed. Works closely with Travel Services to resolve issues. Handles payment vouchers to vendors. Works closely with Financial Analyst on a daily basis to resolve issues and provide administrative support. Processes payment vouchers as directed. Handles scheduling requests for meetings, appointments and events as requested. Maintains/tracks stock of supplies, orders research material requested for students and research staff. Works with end-users to garner quotes from vendors, creates requisitions/Purchase Orders. May be asked to contact vendors to complete new vendor form and direct deposit form. Enters this information into Peoplesoft for approval. Processes monthly Pro-Card logs in PeopleSoft. Collects monthly logs from all staff members that hold a purchase card, posts cost center or project information in PeopleSoft. Creates Journal Entries, Interdepartmental Transfers, Budget transfers when directed. Works closely with HR Specialist to provide back-up support as needed. May be asked to assist with events, planning, payment and execution as needed. Performs other duties as assigned.
Bachelor’s degree with two (2) years upper level secretarial experience or high school with six (6) years of increasingly responsible administrative, secretarial and clerical experience with two (2) years of supervisory experience. Must possess exceptional oral and written communication skills. Possess strong computer skills and high level of proficiency with Microsoft Excel and word. Ability to exercise initiative and think creatively and independently. Must be a self-starter or the equivalent experience.
