West Virginia University Libraries and the West Virginia & Regional History Center are seeking applications for an Administrative Secretary. The Administrative Secretary provides administrative support for the Library Director and the faculty and staff of the West Virginia and Regional History Center.
In order to be successful in this role, the ideal candidate will:
Greets patrons, donors, and visitors in person in the Center entrance and directs them to the reference desk, librarian offices, or to Center staff as needed.
Generates correspondence for the Director of the Center and other staff.
Creates invoices for services rendered including research services and reproductions.
Responsible for cash box. Performs daily counts.
Orders supplies for the Center using Mountaineer Marketplace and other established vendors according to library supplies procedure.
Guides patrons that visit the Center through the registration process.
Enters patron registration information into database. Maintains paper files of registration documentation.
In collaboration with the Reference Supervisor, interviews and hires student workers.
Reviews and approves student timecards .
Answers basic reference questions.

Pay Grade: 12
Associates Degree required.
Excellent oral and written communication skills.
Display strong interpersonal skills with the ability to maintain a professional demeanor while interacting with customers either in person or over the telephone.
Be highly competent in using a personal computer and related software packages, including word processing, database management.
Have knowledge of, or the ability to rapidly learn, the policies, procedures and regulations governing budget issues, with the ability to interpret and apply these policies to unique situations.
Be able to train, supervise, and motivate student workers.
