The Michigan State University College of Osteopathic Medicine Dean’s Office seeks an energetic, engaged and hard-working individual.
Applicants should have a strong knowledge and working familiarity of academic governance. This includes understanding the framework in which decisions are made within an academic institution and the processes through which those decisions are implemented. This requires understanding college and university bylaws, policies and processes. A working knowledge of these areas is required for a candidate to successfully complete the duties required of this position.
These duties include, but are not limited to, determining eligibility for college-level voting privileges; determining eligibility for and conducting faculty elections for various committee positions; serving as administrative support to the faculty assembly; soliciting and coordinating nominations for college and university awards; providing support for college committees and interpreting, drafting, implementing and making recommendations to enhance understanding of bylaws, policies and procedures; coordinating college-level promotion and tenure process; scheduling and providing support to COM hearing committee for Medical Student Rights and Responsibilities and preparing report(s) of committee findings; serving as policy resource for college committees; maintaining college database for multiple internal and external constituents; interacting with college and university offices and departments to ensure policy compliance; coordinating documentation for mandated institutional reporting.
In addition, the successful candidate will perform a wide range of duties, from serving as a resource to faculty, staff and administration to assisting with complex, college-related events and activities coordinated by the Dean’s Office. The selected individual should be able to prepare correspondence, reports, tables, mailing lists and merges; scheduling meetings, preparing meeting agendas and minutes and prepare and process financial documents using the EBS system, manage complex data sets, compile reports and gather sensitive confidential information.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in a business-related field or in a field which corresponds to the particular department of employment; one to three years of related and progressively more responsible or expansive work experience in office procedures, or in performing responsibilities related to the operational activities of the employing unit; experience with word processing, spreadsheet, presentation software and/or desktop publishing, web page software; maintaining a database, recording and disseminating meeting minutes, event planning, travel arrangements, both domestic and international, and reimbursements; or an equivalent combination of education and experience. Possession of a valid vehicle operator's license.
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree in a business-related field or discipline. Strong organizational skills; highly motivated self-starter; experience in decision-making; strong interpersonal skills; ability to work productively in both team and individual settings, strong technical and communication skills, both written and oral. Experience with Microsoft Office Suite, with general office machines and answering a multi-line phone system. Ability to maintain confidentiality.
