In this role, you will provide daily management of the academic personnel actions in the Kaiser Permanente School of Medicine (KPSOM) consisting of a highly complex complement of ladder rank, clinical and non-ladder academic faculty, and other academic appointees. You will be part of the academic affairs unit which is responsible for all academic personnel-related activities within the KPSOM, including but not limited to, faculty, recruitment, appointment, and merit and promotion reviews. You’ll need to demonstrate a comprehensive understanding of undergraduate medical education and academic practices, policies, and procedures. In addition, you will resolve moderate to complex academic HR-related issues affecting a broad range of academic titles in innovative and practical ways.
At least five years of related experience
A bachelor’s degree in a related field or four years of experience in a directly related field with a high school diploma or GED; a master’s degree in a related field or six years of experience in a directly related field preferred
The ability to analyze complex management issues, develop project scope and solutions, give professional advice to senior officials, and make critical decisions regarding personnel
In-depth knowledge of and the ability to apply/interpret organization and college policies and procedures which govern academic HR
Thorough knowledge of organization and college goals, priorities and values, and the legal and human implication of decisions
Excellent critical and innovative thinking to address complex issues and present nuanced analyses
Thorough knowledge of system-wide and organization policies, union contracts, procedures, and practices that govern academic HR administration
Working knowledge of academic personnel dossier preparation
Interpersonal skills to establish and maintain effective working relationships with academic administrators, faculty, staff, co-workers and students, and to interact with individuals from the community at large
The ability to work independently and follow through on assignments with minimal direction
The ability to maintain a strict level of confidentiality
Advanced writing skills to compose clear, concise, and grammatically correct correspondence, minutes, and reports. Proofreading skills to edit typewritten materials for proper spelling, grammar, punctuation, and syntax
Oral communication skills to communicate effectively with persons at all levels of the organization and using appropriate vocabulary to obtain and convey information, explain policies and procedures, or to persuade others to accept or adopt a specific opinion or action
Skill in organizing and maintaining effective record keeping systems of various levels of volume and complexity
Demonstrated skill in operating a personal computer utilizing word processing, spreadsheet, email, internet software, and for data entry purposes. Proven proficiency with Microsoft applications including Word, Excel, Outlook, and PowerPoint as well as HRIS job actions and employee/appointee management systems, such as PeopleSoft
The ability to adapt and be flexible to work in an open-space plan and evolving work spaces
Preferred Qualifications Include:
Previous related work experience in academic personnel at a medical school
Previous experience serving as a resource on university policies and procedures and health sciences salary structures
Knowledge and experience working with academic policies, procedures, and business systems
