Responsible for coordinating and administering the Bank’s leave of absence programs including state and federal required leaves of absences ensuring compliance with company policies and governmental regulations. In addition to the primary role as Leave of Absence Specialist, the position supports the Benefits team in a variety of other benefits related activities including assisting with the administration of the benefit plans, Human Resources Information System (HRIS) data entry, processing vendor invoices, answering employee questions and communicating benefits to the workforce. Performs any functions, within scope of authority and expertise, to provide the highest level of service and responsiveness to customers and co-workers.
Primary point of contact to administer the Bank’s leave of absence programs including FMLA, parental, short and long-term medical/disability, Worker’s Compensation, military, unpaid leaves, and ADA compliance and workplace accommodation requests.
Create and own strategy and process including identifying changes to state and federal regulations to ensure continued compliance with all protected and non-protected leave requirements.
Effectively interprets, applies and explains federal, state and local laws, codes, regulations and proceedings to employees and managers.
Independently determines and administers leaves of absence in accordance with applicable federal and state laws and company leave policies and procedures and ensures policies and procedures remain compliant and are consistently applied. This includes leave requests intake, leave eligibility determination, processing required notices, forms and letters, independently approving or denying leaves based on relevant medical/other information, and recertifying leaves in accordance with Company policy within required timeframes.
Documents and maintains all correspondence including medical documentation, meetings and interactions with employees and other involved parties. Tracks and records the status and progress of all leaves of absence and workplace accommodation requests in the leave administration database tracking system.
Collaborates and counsels employees, managers, and HR Business Partners on the Bank’s leaves of absence policies. Works with all parties to coordinate return to work in a timely and efficient manner. Escalates more complex situations as appropriate.
Ability to work across functions to support and provide guidance to employees, managers and HR Business Partners with workplace accommodation requests under ADA for employees who may require reasonable accommodations to perform the essential job duties of their position.
Monitors time and attendance records and enters paid or unpaid time off into the HRIS for employees on leave.
Ability to identify opportunities for process efficiencies and documents and maintains administrative procedures and standard operating procedures for leave of absence administration.
Provides back-up support to the Benefits team on other benefits-related tasks including but not limited to the following: processing benefit plans and related employee and employer information, assisting employees with resolving questions and issues, performing plan compliance testing, corresponding with plan vendor and third party benefit representatives, benefit invoicing, benefit plan audits, open enrollment activities, and health and wellness related events.
Performs data entry in the Human Resources systems and databases.
Associates degree or certificate in human resources/benefits related discipline.
Minimum of 5 years of experience in leave of absence benefits administration with ability to coordinate various leave types.
Solid knowledge of pertinent federal and state (MA) leave and disability laws including including ERISA, DOL, HIPAA, FMLA, ADA and Workers Compensation.
General knowledge of employee benefit programs, processes, and considerations.
Experience working with HR systems (UltiPro preferred, but not required).
Good analytical skills and solid working knowledge of Microsoft Excel and Word is required.
Detail-oriented with solid follow up skills.
Strong customer service orientation with demonstrated willingness to help and go above and beyond for others. Anticipates needs and issues of employees and managers, and works proactively to address them.
Demonstrated ability to be organized, multi-task, prioritize and maintian flexibilty in a fast-paced environment.
Excellent written, verbal and interpersonal communication skills.
