The Administrative Coordinator provides research and administrative support for the Director of the Institute of Politics (IOP) at the Harvard Kennedy School (HKS). The job requires a solid work ethic, strong person-to-person skills, a capacity to think and write clearly, an interest in politics and public service, an ability to track various ongoing projects, and a command of administrative tasks.
Complex calendar management that regularly involves negotiations, many changing variables, multiple conversations, tight timelines, and varying degrees of pressure to achieve objectives
Coordination of logistics as well as gathering and assembling of briefing materials for meetings, events, and speaking engagement
Compose, edit, and draft letters, memos, reports and other materials
Prepare talking points and research on various topics – including politics, government, legislation, and media – for speeches and events as needed
Complete various office support functions such as expense reports, travel arrangements, phone support, and clerical activities
Work with the HKS Dean's Office, faculty, staff, and other HKS Centers to support the IOP's mission and programs
Manage interactions with visitors to the IOP and outreach to campaigns, political organizations, and IOP staff
Applicants must have the ability to manage and relate well on many levels face to face, by phone and through written correspondence with VIPs, faculty, guests, colleagues, students, and alums with poise and self-confidence and judgment. In addition, excellent attention to detail and high standards for quality of work is crucial.

One year of administrative experience. Prior experience with complex calendar and travel management.
Bachelor's degree or equivalent preferred. Demonstrated intermediate level proficiency with Microsoft Word, Excel, PowerPoint and social media is necessary.Must be an efficient manager of time and schedules. Work experience in academia, business, government or non-profit environment a plus. Must possess strong interpersonal, oral, written and time management skills, along with tact, poise, mature judgment, diplomatic skills and discretion. Excellent attention to detail, adaptability and flexibility. This position requires initiative and self-motivation in a fast-paced, action-oriented environment. Exposure to politics, higher education, civic engagement efforts, legislation, and communications.
