Assistant Athletic Director, Projects and Licensing The University of Delaware Newark, Delaware
The Manager, Projects and Licensing (Assistant AD) at the University of Delaware is a valued member within the University and Department of Intercollegiate Athletics and Recreation Services (DIARS), upholding and embracing the departmental mission of “Inspiring Greatness Together.”
This role reports directly to the Senior Associate Athletic Director, External Relations and provides a wide variety of high-level content coordination for the External team within DIARS by providing leadership and management for cross-functional projects. The position focuses on on managing, prioritizing and the governance of projects that align with the department’s strategic goals. This position is responsible for all aspects of the project lifecycle including the planning, execution, monitoring and reporting of outcomes.
In addition, this position is responsible for leading the licensing business strategy, at the Institution level and DIARS, and works in collaboration with the University’s Office of Communications and Marketing for all design-related matters and brand management adherence. The incumbent will oversee the coordination of all licensing constituents (College Licensing, apparel partner, University and Athletic Department teams) needed to manage the program and drive the initiatives that will lead to successful team outcomes.
MAJOR RESPONSIBILITIES: Strategic Leadership and Project Management (50%)
Serve as a thought partner to the Senior Associate AD, External Relations on the immediate and long-term strategic planning of the External Relations team.
Leads project execution including project schedule, budget, overall direction, coordination, implementation, execution, control and completion of specific projects ensuring consistency with the department strategy, commitments and goals. Monitors project progress and ensures projects (ex. video, web, social media) are delivered on time, within scope and budget. Simultaneously launches and manages multiple projects throughout the project lifecycle of each project.
Align, measure, and evaluate strategic content across all areas and strive for continuous improvement and the management of time and resources across the area.
Manage project scope, identifying, defining and communicating risks and change requests, before taking appropriate action to minimize impact of the project success
Develops, maintains, and promotes project management methodologies, standards, policies, processes, practices, tools and templates.
Coordinates day-to-day updates, details and follows through on projects underway, while responsible for status updates within External Relations and all key stakeholders.
Assist in providing brand leadership, in partnership with the Senior Associate Athletics Director, which contributes to internal cohesion while enhancing external trust and reputation.
Define KPI metrics for effectiveness of brand management and create a system to promote a culture of analytics to pursue continuous improvement across areas including content, platforms, audiences, time and user experience.
Monitor and analyze campaigns and collect metrics to calculate ROI and inform future programs.
Manage the External Relations team planning process, resulting in a coordinated and efficient yearly planning cycle to best serve our 21 teams and auxiliary units; including setting meetings, agendas and tracking applicable follow-up
Daily approval/disapproval of UD-branded merchandise on the IMG/CL Brand Manager 360 web portal.
Manage licensing business strategy, including at the Institution level and Athletics, as part of the Licensing Team, inclusive of Office of Communication and Marketing (OCM) and Athletics representation.
Prioritize collaboration and communication in order to increase revenues and achieve the highest levels of both efficiency and effectiveness.
Work in collaboration with the OCM Branding role for all design-related matters.
Consult with the IMG College Licensing staff regularly, including on issues pertaining to retail marketing programs and promotional opportunities to promote continuous improvement in overall strategy. Lead and coordinate all IMG College Licensing seasonal and special event promotions with appropriate teams, in partnership with OCM.
In partnership with OCM, manage relationships with Delaware licensees and retailers selling Delaware licensed products to ensure the consistency and proper use of the University brand.
Lead the relationship with campus bookstore partners on all retail related issues to ensure proper coordination with sideline partner and other licensees, and proper merchandising to enhance the overall University brand.
Identify and evaluate various metrics to measure success of the program, collaborating with the appropriate units to build, track, and share the data and analysis.
Collaborates across the department, especially with UD equipment managers, External Relations and official sideline apparel providers, to ensure proper logo placement and design on all uniforms and sideline merchandise.
Collaborates with Athletics External Relations Leadership Team on any licensing issues that cross into other external areas.
Miscellaneous (5%) Provide on-site staffing for events when necessary, in addition to participating in External Relations team events as appropriate including, but not limited to, Delaware Athletics sporting events, on and off-campus donor events and other athletic activities. Organize External Relations team meetings and retreats.
Gather, organize and distribute materials for meetings, presentations, interviews, cultivation activities and events.
Monitor financial tracking and budget reconciliation for the External Relations area budgets to ensure accurate spending; including reconciliations and reimbursements for the Senior Associate Athletic Director.
Contribute as a member of a high functioning team through accountability, efficiency, enthusiasm and leadership.
Bachelor's degree and four years related experience, or equivalent combination of education and experience. Degree in business, communications, marketing or other related field preferred.
Experience in project management for marketing and communications functions.
Knowledge of Retail Marketing preferred.
Strong project management and problem-solving skills; proven attention to detail with excellent organizational and time management capabilities.
Ability to meet deadlines in a fast-paced environment and flexible when it comes to re-prioritizing tasks due to business demands.
A proactive planner who isn’t afraid to ask probing questions for project clarity, anticipates potential roadblocks, and escalates project issues appropriately.
Solid understanding of the creative process and project management tools.
Demonstrated organizational, critical thinking and analytical skills.
Ability to work with other entities, including both and external of the department and University, that have interest in management and/or use of the University's brand and trademarks.
