Under the general direction of the Dean of International Education and Global Initiatives (OIEGI), the Administrative Assistant 4 (AA4) provides higher-level administrative support to the dean to maximize his effectiveness in administrative and financial management of OIEGI. Higher level administrative duties include, but not limited to, budget monitoring, expenditure control, office space management, equipment purchases, public relations, personnel administration, records management, and report preparation.
The position provides administrative and fiscal management skills to insure all OIGEI business transactions and contractual agreements with partners around the world are carried out by meeting the state and college's policies and procedures. The incumbent must be able to project a welcoming and professional image of the OIEGI to international visitors, business and educational partners, and government official and serve them with keen sense of cultural sensitivities.

ESSENTIALS FUNCTIONS/TYPICAL DUTIES
Contract and Financial Management
Aid the dean and the two directors with budget preparation, estimation, rationalization, and implementation
Review and process initial agent contracts and renewals, process invoices in a timely manner by following college's guidelines
Stay abreast of the fiscal policies and procedures of the College and the Foundation
Review and process monthly accounts payables and receivables in a timely manner
Manages procurement card for OIEGI
Administrative Support for the OIEGI members
Assist the dean and directors with research projects, analyzing data, and drafting reports
Coordinate all domestic and international travel arrangements and process expense reports Coordinate space management including renovation and/or remodeling for offices; assists in preparation of long-range plans for space utilization and renovation
Provide administrative support to the management team by performing complex tasks on word, graphics, statistical spreadsheets, PowerPoint presentations and database work. Stay current with technology applications and software
Coordinate logistics for meetings, prepare agenda and materials, take minutes and keep accurate meeting records
Assist the Director of International Education with the short-term customized program inquiries, development of the program, costing, hiring, training, and delivering programs as needed
Bachelor's degree from an accredited institution or three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work
Advance level with Word, Excel, PowerPoint, Outlook, OneDrive, and SharePoint
Ability to write, speak, and present complex issues effectively and persuasively
Ability to earn trust of others with diverse ethnic, cultural, and linguistic backgrounds
Experience in exercising independent judgement, decision-making, discretion, confidentiality, and maintaining composure under stressful conditions
Exceedingly well-organized, flexible, and enjoys administrative challenges of supporting a department of diverse, multi-cultural staff and programs
Ability to accept personal responsibility for the quality and timeliness of work
Bachelor's degree in accounting, business, finance, or economics from an accredited institution
One year work experience in international education at a higher education setting
Knowledge of risk management
Experience studying, living, or volunteering/working abroad
