Coordinates resident/fellow post graduate medical education programs within the criteria of the ACGME and the AOA. Coordinates the Program Directors, Program Coordinators and residents/fellows for all required activities.
Primarily coordinates resident annual recruitment, on-boarding and orientation processes.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Resident Application and Interview Process:
Register all residency/fellowship programs in the Electronic Residency Application System(ERAS) for residency/fellowship recruitment.
Receive and review applications for residency selection process.
Work with individual program directors to create interview schedule.
Coordinate interview days including room reservation, food order,applicant check in and providing information.
Field electronic and phone communication regarding application and interview status as well as general residency program questions from applicants.
2. ACGME/AOA MATCH:
Register programs and institution in National Residency Matching Program(NRMP) and National Matching Service(NMS) residency match systems.
Communicate with program directors for creation of rank order lists for the match.
Enter rank order lists into NRMP and NMS systems.
Help with post-match activities as needed.
Distribute PGY-1 Residency contracts.
Coordinate with Human Resources in obtaining criminal background checks for incoming PGY-1 residents.
Import PGY-1 resident information into New Innovations from ERAS.
Coordinate onboarding documents including updating forms, uploading forms into New Innovations and communicating with PGY-1 residents as to their ability to access system and complete required documentation.
Track progress of PGY-1 residents regarding completion of all onboarding documentation.
Oversee PGY-1 lab coat order.
4. PGY-1 Orientation:
Coordinate mandatory orientation program including room reservations, food order and speaker schedule.
Coordinate with Jefferson Health Life Support for PALS and ACLS training.
Coordinate orientation activities with GME offices of Jefferson Health and Our Lady of Lourdes Health System .
5. PGY-1 Program Manual:
Work with rotation/program directors to update curriculum guides for their rotations.
Update additional content for the manual such as University, CIR, AOA, ACGME or hospital changes.
Upload updates manual on New Innovations.
6. Recruitment Activities/Marketing:
Create and update marketing materials for residency program use at recruitment events.
Attend recruitment events as directed by the Director of Graduate Medical Education.
Update the RowanSOM GME website when changes occur.
7. New Innovations Residency Management Suite:
Import PGY-1 residents by using ERAS feature.
Input PGY-1 rotation schedules.
Set up evaluation matches for PGY-1 residents based on schedule.
Monitor duty hour input for all residents and fellows and report compliance and violations to the Graduate Medical Education Committee and program directors on a regular basis(at a minimum monthly).
8. GME Competency Education Program (GCEP):
Update resident/fellow roster on a yearly basis.
Work with program directors and coordinators to create curriculum for their programs.
Create curriculum tracks for each program.
Maintain an updated list of all available modules within the program.
9.Otolaryngology (ENT) program coordinator:
Coordinate all aspects of the AOA ENT residency for the duration of the program scheduled to close June 2020.

EDUCATION and/or EXPERIENCE:
Bachelor’s Degree in Education, Business Administration, School Relations or a related field, plus five (5) years related experience in a business office, government agency, university setting or hospital required. Experience interacting with faculty, health care administrators or other professional constituencies required.
