We have an exciting opportunity to join our team as a Program Manager.
In this role, the successful candidate will provide leadership and administrative direction, in collaboration with the Director of the Section for Global Health and Divisional and Departmental administration, for faculty and staff in the Section for Global Health in the Division of Health and Behavior. This includes supporting the human resources management, oversight of grant and non-grant financial accounts, moving forward strategic initiatives, and management of the day-to-day operations. The Program Manager is also responsible for working with Section faculty to process and review grant applications, as well as tracking and reporting on active, pending, and planned grant applications.
Oversees preparation of all Section budgets for departmental programs (i.e., school operating, discretionary, affiliation, grants, etc).Tracks revenue and expenses and monitors budgets, including salary allocations and expenses. Works with Divisional and Departmental administration to make necessary changes and resolve any issues.
Responsible for coordination of pre-award grant submissions. Complete all non-scientific portions of grant applications for Principal Investigators (PIs). Gather required documents from collaborators and subcontractor organizations as needed. Work with the PIs, Department of Population Health, and Sponsored Programs Administration (SPA) to make corrections as needed and ensure the grant is submitted by the funder due date. Complete necessary entries into Research Navigator.
Handles communication with sponsors regarding prior approval requests, no-cost extension requests, carryover requests, and responds to sponsor request for JIT information.
Provides post-award management for Section faculty for federal and non-federal grants and contracts. Works closely with PIs to submit non-competing continuations, progress reports, and final reports/invocation statements. Handles all subcontract paperwork and related tasks, in partnership with SPA. Reviews and analyzes financial data, makes recommendations to the Director and Section faculty.
Oversees compliance with all funding agencies and the IRB by ensuring that required information is maintained and reported on a regular basis
Meets on a regular basis with the Department and Division administration to review current research activity, including monitoring on-going financial performance and adherence to annual budgets and ensure post-award follow-up items are addressed.
Manage HR-related tasks for Section faculty including on-boarding volunteers, orienting new staff and ensuring completion of annual performance appraisals for Section staff.
Work with Divisional and Departmental administration to hire new staff, address any performance issues, and process related changes in employment status (i.e. change in hours, termination, etc).
Support faculty and staff in their research and education efforts, including implementation of processes to improve efficiency and overcome obstacles while working toward common goals. Participate in Section faculty meetings and keep strategic initiatives moving forward.
Along with the Divisional and Departmental administration, manage the space, equipment, and facility-related issues within the Section.
Support Section faculty and staff in expense management including, pcards, check requests, honorarium payments, employee travel and expense reimbursements, new vendor set up and procurement of goods and services.
Create a positive environment that fosters collaboration, dedication and teamwork among Section faculty and staff. Propose then implement creative approaches to program management and improvement.
Attend Departmental and Divisional administrative meetings and serve as a liaison between Section staff and faculty and Department/Division administration and other SoM Departments as appropriate. Perform other duties as assigned.
Supervise administrative Section staff.
Other relevant duties as requested by the Director of the Section.
To qualify you must have a Masters degree in public health, health care administration, business, education administration, science; other areas will be considered as well
2-5 years research administration experience
Qualified applicant must have extensive grant experience to include pre and post award work and be confident in handling grants from application to end.
Evidence of highly effective project management
Strong analytical, organizational and time management skills
Proficiency in using various Microsoft Office applications such as Excel, Access, Power Point and Outlook. Familiar with Internet applications
Effective verbal and written communication skills and interpersonal skills. Comfortable in the role of team leader and team member
Thorough understanding of institutional and federal research administration policies
Qualified candidates must be able to effectively communicate with all levels of the organization.
