GENERAL STATEMENT OF DUTIES:
This Administrative Assistant I supports all functions within the Office of the Registrar. Responsibilities include working with students, the public, College faculty and administration on matters relating to registration, information, transcripts, and records, as well as performing related office work as required.
EXAMPLES OF DUTIES:
Assist in the dissemination, implementation and, at times, research of academic information, policies and procedures as it relates to the Office of the Registrar.
Assist in registration of students in person, via telephone, fax, mail and email.
Assist in preparation of external verification of student status and attendance for insurance, employers, financial aid loans, military inquiries, DET, JTEC, and DTA under FERPA regulations.
Assist with internal verifications of student record requests regarding enrollment activity, status, grades, graduation, matriculation and transfer research.
Assist with office tasks and procedures associated with certifying degrees and certificates for graduates.
Assist with the maintenance of student records and folders.
File correspondence, reports, records, and folders, in accordance with a prescribed classification system.
Answer telephone, respond to fax and email inquiries, assist other College personnel, students, and the general public.
Operate and maintain office equipment.
Maintain confidentiality of all records in accordance with FERPA and state regulations.
Coordinate information with other departments including academic deans, Business Office, Admissions, and Financial Aid regarding student status.
Assist with other data compilation and/or entry regarding transfer credits or other information.
Perform all aspects of customary standard office procedures and customer service.
1. At least two years of full-time or equivalent part-time experience in office management, office administration, business administration or business management, or any equivalent combination of the required experience and the following substitutions: a. Associate or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.* b. Associate or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.* 2. Excellent customer service skills. 3. Strong interpersonal and oral communication skills, including the ability to work effectively with a diverse population and provide a friendly, supportive environment. 4. Strong computer skills including proficiency with Microsoft Office Suite (Word, Excel, Outlook and Access), especially the ability to manipulate data in Excel. 5. Strong organizational skills as well as the ability to handle multiple tasks simultaneously and adhere to deadlines. 6. Accuracy and attention to detail. 7. Ability to adhere to College's strict confidentiality guidelines and FERPA regulations. (Position involves exposure to sensitive data including academic records, letters of recommendation, personal history and family related correspondence). 8. Ability to work as a team member.
*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
ADDITIONAL PREFERRED QUALIFICATIONS:
1. Associate degree or coursework at a community college. 2. Bilingual. 3. Experience with Jenzabar software.
COMPENSATION: $804.43/week for full-time benefited AFSCME Unit position, Grade 15, Step 1 (entry-level). Candidate may qualify for placement above entry-level if currently employed in the State system.
