The UM-Dearborn Office of Research & Sponsored Programs (Dearborn ORSP) seeks a service-oriented research administrator to fill the role of Lead Contracts and Grants Specialist. This position will assist faculty with obtaining externally sponsored funding, and provide administrative support for campus research and other sponsored activities. The primary duties of this position will be to coordinate and support the timely preparation and processing of applications, proposals, and contracts related to sponsored funding from a broad range of external sources. UM-Dearborn processes about 200 applications for external funding annually.
This team member’s primary responsibilities surround the coordination of pre-award activities related to funding requests from federal or state government, corporate, and foundation/non-profit sponsors. Salary based on experience.
Pre-award activities include assisting faculty with the development, preparation and submission of the proposal and application package including, but not limited to the internal Proposal Approval Form and external sponsor forms; budgets and supporting documentation, and other non-technical forms; collection and assembly of application components; coordination with internal and external collaborators; review of proposal documents for compliance with University and sponsor guidelines; and ensuring timely routing of proposals through the institutional approval process to meet internal and external deadlines.
Other responsibilities include processing of Unfunded Agreements (e.g. MTAs, NDAs, DUAs, etc.); some post-award support such as coordinating sub-agreements, re-budget approvals, renewals and extensions, early close-out, and personnel/scope changes; processing human subjects incentive payment requests; consulting with faculty and administrators regarding effective use of funds, and assisting with the training of faculty and staff in research administrative procedures.
This team member will also assist with managing Dearborn ORSP’s webpages and UM-Dearborn’s internal Campus Grants programs via InfoReady or other University systems. Related duties include publishing program announcements, application review and acceptance, monitoring internal award transactions for accuracy, coordinating accounting matters with other departments/units where appropriate, and preparing various reports as needed.
Additional duties include: maintain appropriate communications with faculty, administrators, ORSP and Sponsored Programs as needed; assist other team members in Dearborn ORSP as needed; participate in continuous process improvement and internal control efforts; help document office best practices; investigate and resolve issues arising within the purview of Dearborn ORSP.
Bachelor degree or equivalent.
At least 3 years of continuous experience in pre-award research administration working with federal funding agencies OR a minimum of 4 years of combined experience in pre- and post-award federal grants management or comparable environment with tight regulations and compliance requirements.
Ability to interpret and apply guidelines and policies including Uniform Guidance, budgeting restrictions and U-M sponsored research policies.
Experience with applying sponsored agreement terms and conditions.
Proficient knowledge of Adobe Acrobat, Excel, and Word and comfort with changing technology.
Dedication to quality customer service and ability to work with a diverse community from a variety of disciplines.
Attention to detail, sound judgment, follow-through, and high work standards are essential.
Demonstrated ability to effectively work under pressure of deadlines and manage competing priorities.

Experience working with sponsored projects in a University setting.
Knowledge of U-M systems including eResearch Proposal Management, Concur, and M-Reports is strongly preferred.
Experience with federal funding agencies such as NSF, NIH, and DOE, and their systems (Fastlane, grants.gov, e-EERE) is strongly preferred.
Experience with Competition Space or other InfoReady products is desirable.
