The Office and Employment Coordinator acts as the first line of contact for the office and performs human resources related duties to implement daily activities and provide excellent customer service in assigned areas. These areas include but are not limited to: office administration, recruitment, hiring, onboarding, job changes, HRIS maintenance, and implementation of policies and procedures in accordance with the strategic initiatives of the Office of Human Resources.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Serve as primary contact and daily administrator for the University's Applicant Tracking and Onboarding system. Responsible for recruitment and hiring functions including: reviewing requisitions and working with supervisors to ensure accuracy of information submitted, posting and closing positions, performing onboarding functions, preparing all related correspondence, responding to custom advertising requests, processing background and reference checks, and completing all associated actions within systems of record.
Collaborate with the Assistant Director of HR to develop and implement training initiatives to ensure that supervisors understand HR processes and are empowered to effectively manage their workforce, including, recruiting, hiring, and job changes
Primary person responsible for creating and maintaining positions codes, entering accurate employee data into the HRIS (Colleague), ensuring that records are updated in a timely manner, and auditing data for accuracy on a monthly basis.
Facilitate the new employee orientation program for staff, including presenting the functions of the HR department. Plan dates, contact speakers, invite attendees. Continually assess the effectiveness of the program.
Responsible for all HR-related special events (i.e. anniversary awards, picnic, Christmas luncheon, United Way, etc.) including budget accountability. Assist with Wellness events as needed. Evaluate events and make improvements/changes as needed.
Update and maintain quarterly staff organizational charts and employee directories for the University, by tracking department changes and sending out latest version on quarterly to selected stakeholders for updates and/or verification of recent changes.
Responsible for producing the monthly HR newsletter, gathering information, creating the template, and distributing the newsletter electronically.
Responsible for the proper and timely submission of the CUPA-HR surveys on Administrators, Professionals and Staff.
Maintain the main Employment webpage and the Employment Requisition Guides section of the Manager Toolkit within the HR website.
Maintain employee files with HR related data and share appropriate data with Payroll for employee payroll files.
Responsible for monitoring new employee probationary periods. Send reminders to supervisors to complete evaluations in a timely manner and follow up as needed to ensure completion.
Responsible for all general clerical duties of the office, including but not limited to filing, answering phones, photocopying, , RIPTA ridership report review, allocating charges to departments for HR services including; background checks, reference checks, and advertising, etc.
OTHER DUTIES AND RESPONSIBILITIES:
Assist in all special projects of the HR office.
All other job-related duties as requested by supervisor.
Occasional lifting and moving materials, up to 20 lbs in weight.
A minimum of a bachelor's degree required, preferably in a HR or business field. A minimum of 1 year previous Human Resource department administrative support experience is required. Experience in recruitment, hiring and onboarding processes strongly preferred. A combination of education and/or relevant experience may be substituted for the above at the discretion of the University. Confidentially is of the utmost importance.
Must be highly experienced in Microsoft Word, Outlook, Excel spreadsheets, PowerPoint and database maintenance. Working knowledge of applicant tracking systems and Ellucian Colleague HRIS is strongly preferred. This position requires an individual who is able to work on multiple tasks simultaneously, has the ability to attend to detail and demonstrate initiative in approaching tasks. Accuracy is a very important trait. Must be able to respond to questions in a tactful and professional manner. Strong oral and written communication skills are required. Superior telephone and interpersonal skills that provide an ability to communicate effectively with the wide variety of people served by the Office of Human Resource are a must.
This position could, on occasion, require bending, reaching, ascending and descending stairs, standing, walking, pushing, pulling, lifting, talking, and hearing.
