The Office of Faculty Affairs (OFA) is responsible for all aspects of administration pertaining to faculty, research scientists, and annual appointments, as well as faculty searches and standing committees of the faculty. The Office of Faculty Affairs is seeking an energetic, detail-oriented, and collaborative individual to join their 11 person team as an Administrative Coordinator. Reporting to the Associate Director of Faculty Affairs, the Administrative Coordinator will have 2 main areas of focus: to support senior faculty searches and reviews, and secondly, to assist the Standing Committee on Appointments, Re-appointments and Promotions (SCARP), as well as Faculty Workshops through the coordination of logistics, providing of data, and drafting of formal correspondence.
While direct experience in Academia is certainly not required, it could, of course, serve as helpful is navigating our dynamic (and exciting!) work environment. Most importantly, the successful candidate will have strong communication skills (verbal, and especially writing), have previously coordinated meetings and interacted with a variety of stakeholders, and will approach customer service and problem solving with a diplomatic, yet solution-oriented nature.
Duties and responsibilities include, but are not limited to, the following:
Gathering and maintaining data on faculty search candidates and experts to be contacted during the course of the review
Overseeing the assembly of committee materials sent to the Deans, Provost's Office, and other external experts
Managing timelines and process guides
Serving as the principal administrative contact with departments, school-level committees, and Provost's Office
Write OFA sections of committee reports and announcements
Managing Logistics for SCARP meetings including quorum, agendas and minutes
Drafting Letters of Agreements and letters from SCARP Chair
Reporting appointment related data to the Office of the Governing Boards
Drafting Visiting Faculty and Research Professor Appointment and reappointment letters
Managing Logistics and assisting with correspondence and advertising of junior faculty workshops
Other duties as assigned

3+ years of related experience; a combination of education and experience may be considered
Bachelor's degree strongly preferred
Experience with Microsoft Office Suite is preferred
