The Education & Programs Assistant will assist in the areas of departmental curriculum and educational programs. Incumbent will help to develop class schedules, type course syllabi, handouts and exams for a host of School of Medicine and Biomedical Sciences core and elective courses. Assist in planning and coordinating special departmental events. Coordinates activities between the Department Chair's Office and the Education and Program Office to include seminars, scheduling, word processing and organization.
This position will be responsible for the operation, upkeep and training for departmental equipment - copier, fax, AV equipment. Schedule and monitor use of departmental equipment – laptop, LCD projectors, slide projector, copier, fax, etc. Assist DBO with surveys and/or correspondence. The incumbent will also assist a select group of faculty with the preparation, coordination, and submission of extramural contracts and grants.
Administrative experience in an office environment providing administrative support for staff and faculty. Ability to coordinate administrative activities by determining the time, place, and sequence of actions to be taken.
Demonstrated experience in arranging/coordinating logistics for meetings and special events. Operating knowledge of e-mail messaging and automated calendaring systems.
Skill and ability to set up and operate audio-visual equipment.
Knowledge and advance level skill of computer systems software including Windows 2000 and/or XP, Microsoft Word, Excel, Power Point. Experience in creating spreadsheets and reports using appropriate software applications.
Strong writing skills to draft letters and memos for signature or review by supervisor/manager, using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills.
Experience preparing contract and grant proposals and knowledge of NIH and other granting agency requirements.
Ability to communicate effectively and professionally, with a national and international population (in person, over telephone, and in writing) with tact, diplomacy, discretion, flexibility, and professionalism.
Knowledge of PPS, ISIS and IFIS.
Knowledge of UCSD accounting policies and practices.
Knowledge of UCSD policies and procedures governing undergraduate personnel.
