Rutgers, the State University of New Jersey is seeking an Administrative Coordinator II, for the Department of Infectious Diseases at the New Jersey Medical School. The Administrative Coordinator II will assist in the coordination of office support for operations in the Infectious Diseases Program and provide administrative support for the management team.
Plans and schedules the work of the Infectious Disease practice to make maximum effective utilization of employees, equipment, resources and materials within budgetary requirements.
Maintains supervisor’s and/or department calendar, establishing priorities and scheduling appointments at own discretion.
Assists in arranging and coordinating travel schedules and reservations for supervisor and other department personnel, compiling documents for travel-related meetings.
Submits expense vouchers for reimbursement.
Coordinates and arranges meetings, notifies appropriate parties, prepares agendas, takes minutes, reserves and prepares facilities.
Conducts and administers fiscal operations, including planning budgets, authorizing expenditures, monitoring and tracking grant related expenses.
Facilitates processing of expense reports, time reporting, requests for payment and other fiscal and administrative documents.
Provides administrative support for a specific program in the department; may provide support for one or more professionals.
Ensures proper management, inventory tracking of office and medical supplies, and equipment as well as ordering replacement supplies, as necessary. This can involve taking inventory and maintaining records of orders.
Prepares departmental reports. Assists in preparing studies of human resources, space and equipment utilization, etc. Handles administrative or statistical details for special projects.
Serves as liaison between the department and administrative units, such as Purchasing, Human Resources, IST, Accounting and Payroll.
Oversees the maintenance of departmental records and ensures that files and record keeping systems meet the needs of the department.
Minimum Education and Experience:
Bachelor's Degree plus one (1) year of administrative experience in a government agency, university setting or large business office with responsibility for general office functions and preparation of reports.
Equivalent education, experience and/or training may be substituted for the degree requirements.
Required Knowledge, Skills, and Abilities:
Must be proficient in computer applications as required by the department.
Physical Demands and Work Environment:
PHYSICALDEMANDS: Must be able to lift or exert force up to ten (10) pounds.
