The primary purpose of this position is to assist in maintaining accurate and timely room billing for residents of housing. This is accomplished by working closely with the Assistant Director of Occupancy Management and the Assistant Director of Guest Relations to coordinate the proper billing for over 3500 residents during the academic year and a variety of guest housing during the summer months. It is also the responsibility of this position to coordinate the contract cancellation and appeals process. This position has a high level of student and stakeholder interaction, including a high volume of sensitive information and confidential matters; as the incumbent is the primary contact for all housing billing.
Managing billing and payments, including recording billing transactions for students and guest housing, processing application fees, prepayments, rent and damage charges, and assisting with meal plan charges and cancellations.
Processing transactions in Banner and working closely with the Bursar's Office.
Researching student inquiries regarding billing and responding via email and/or phone to all prospective and current students.
Auditing credit card transactions and other financial information on behalf of the department.
Creating and maintaining financial statements, designing reports for various stakeholders, and maintaining and updating Standard Operating Procedures (SOP) regularly.
Reviewing cancellations and appeals to determine eligibility for refunds and forfeits of prepayment and coordinating the department's response to all contract breakage requests and applies fees as appropriate.
Overseeing university withdrawals/suspensions and ensuring students checkout.
Assisting with design and review of housing management software system, streamlining processes, and reconciling and crosschecking various reports from different systems to ensure accuracy of information.
Communicating with peers within the department and division (Assignments Specialist, IT Administrator, Bursar, Meal Plan, Guest Relations, etc.) to ensure smooth transitions for students.
Providing assistance to students and parents that call or come into the office; and monitoring housing email account, and responding or referring appropriately.
Supplying proof of residency and residency verifications for students and/or government background checks.
Assisting the department with a variety of special projects throughout the year, including but not limited to: operation move in, recruitment events, etc.
