This position will provide support to the Head of Enterprise Operations & Technology. Duties are complex and confidential requiring the highest level of discretion and independent judgment. The individual in this role will have continuous contact/communication with high levels of internal management, the Board, investors, regulators as well as senior management with external firms and clients.
Provide administrative support to a senior executive
Handle incoming calls, respond to inquiries, and assisting broader team
Coordinate all aspects of senior level appointments, meetings, receptions, events and conference calls including video and maintain frequently changing calendars through Outlook , accuracy key
Communicate and build relationships with senior level internal and external management
Understand how this senior role and the responsibilities fit in and interact with senior business leaders from across Citi globally
Assist with creation/modification of presentations, spreadsheets, and other various documents
Prepare and review materials and correspondence for executive level meetings with internal and external parties
Draw on advanced knowledge and understanding of the Citi Expense Management Policy (CEMP), requirements for exception approvals, and processing through the Citi travel and expense system to review cases for completeness and advise on what does (or does not) qualify for exception approval
Coordinate frequent travel arrangements - both international and domestic. Visas as required.
Prepare, reconcile, and track expense reports through Concur T&E system
Organize and secure highly confidential and sensitive company and employee information; maintain appropriate levels of confidentiality
Assist in ad-hoc reports for special projects as needed
Serve as back-up support for other managers or administrative staff when required
Order supplies and process invoices through P2P (invoicing) system
10+ years prior experience in an Administrative position, preferably at a global financial services firm
Demonstrated exceptional performance in a highly regulated, complex environment
Experience interacting directly with senior executives and their assistants
Ability to work effectively and diplomatically with all levels of internal and external management, including working with people across geographies and cultures to successfully execute
Extremely organized and detail oriented, with strong follow-up
Excellent oral and written communication skills; strong and polished interpersonal skills
Ability to execute under tight timeframes - multi-task, prioritize and work independently
Ability to handle confidential information and sensitive matters with discretion and sound judgment
Team player; inspires trust and demonstrates a high level of integrity and professionalism
Collaborative and responsive with the willingness to learn, take initiative and work in a fast-paced environment
Highly proficient in MS Office (Word, Excel, Outlook, and PowerPoint)
Ability to gain a strong command of new systems as required for the job
