Manager, Grants and Contracts Team – Office of Research Services
The Manager of the Grants and Contracts Team serves as a University official with signature authority for Main Campus, Qatar Campus, Law Center, and University Services proposals and externally sponsored awards, including grants, contracts, cooperative agreements, Intergovernmental Personnel Act Agreements, and subawards. The Manager works with a large number of faculty from a variety of departments, disciplines and cultures, providing personalized customer service and maintaining the Office's excellent reputation; initiates and fosters working relationships with sponsor representatives; and manages a team of highly-skilled team of research administrators with a high volume of proposals and awards ($50 million annually). Duties include but are not limited to:
Organizes the work, balances the work portfolios, and identifies process improvements in the Grants and Contracts Team members' work; and maintains their own assigned work portfolio similar to that of Team members.
Oversees grants compliance duties, including subaward recipient monitoring and private business use analysis - reviews and executes faculty proposals to external sponsors; negotiates and administers incoming externally-funded research grants and contracts; develops teaming and consortium agreements; verifies or performs various compliance checks related to conflict of interest, export controls, private use, E-Verify, tax and other federal initiatives; drafts and issues any sub-awards or any ancillary legal documents; serves as the primary liaison with the external sponsor for all official communication; interprets and applies University and sponsor policies; and learns and masters a wide variety of government databases related to the federal government's mandate of electronically exchanging research information.
Serves as the representative of the Grants and Contracts Team to faculty and researchers on campus, is an integral part of ORS leadership and initiatives of the Vice Provost of Research, and as well as an authorized University official with signature authority on proposals and awards.
As the Manager of the Team that handles all of the proposals and awards for Main Campus, Qatar Campus, Law Center, and University Services, this position plays a crucial and strategic role in the management of the University's sponsored funding by the Office of Research Services.
Ensures high quality customer service – provides clear, concise and accurate responses to inquiries/requests from faculty and administrators; follows through on any issues that require contact with other internal or external departments; and manages effective hand offs to other team members or other internal departments so details do not fall through the cracks and cause incomplete resolutions or unanswered questions; assures fast and timely responses to inquires/requests; and provides a supportive and professional attitude toward faculty and administrators doing research.
At least 10 years of progressively responsible experience in a university or other non-profit grants and contracts office, including managerial roles and experience
Proficiency with standard office software, including Microsoft Word, Microsoft Excel, and Adobe Acrobat; and adaptability to the ever-changing technology within the University
Experience with contracts and other external funding vehicles, as well as proficiency in use of databases – preference for Experience with the use of Community of Science/Pivot funding opportunities and expertise databases, the National Science Foundation's FastLane database, Grants.gov, or other federal government electronic systems
Excellent verbal and written communication skills
Ability to manage staff and to work independently, prioritize work, manage tight deadlines, and diplomatically juggle complex situations involving the competing interests of faculty during periods of high volume
Excellent communication, managerial, and analytical skills
Ability to employ tact, diplomacy skills, flexibility, and maintenance of confidentiality.
Ability to think logically and to use appropriate judgment
Ability to manage a high-skilled team, foster close working relationships, and facilitate productive professional communications among team members
