Rutgers, Institute of Ophthalmology and Visual Science at the New Jersey Medical School, is seeking an Administrative Coordinator I to manage office support operations and activities for the department of Ophthalmology.
Plans and schedules the work of the section to make maximum effective utilization of employees, equipment and material within budgetary requirements.
Supervises, orients, and trains administrative staff.
Coordinates office operations, including: forms, secretarial/clerical work, space and office equipment, internal reporting systems and ordering supplies and materials. Suggests methods for office improvement.
Performs studies and prepares various reports on the non-technical aspects of the department. Researches and compiles data, performs analyses and submits conclusions and recommendations.
Serves as principal liaison between department and administrative units such as Faculty Affairs, Human Resources, IST, Accounting, and Payroll.
Acts as principal liaison for the Chair with the University Hospital Medical Staff Office, coordinating medical staff appointments, re-appointments, faculty professional practice evaluations, and ongoing professional practice evaluations.
Maintains departmental payroll and attendance records for the staff; schedules vacations.
Maintains record of faculty time for the Chair.
Coordinates and tracks various faculty reports and schedules to ensure departmental compliance.
Expedites and coordinates services such as maintenance, service and repairs, supplies and mail.
Minimum Education and Experience:
Bachelor’s Degree in Business Administration, or related field, plus at least two years of administrative experience in a government agency, university setting or large business office with responsibility for office management, preparation of reports, supervision of staff,etc.
Additional related experience may be substituted for the degree on a year-for year basis.
Required Knowledge, Skills, and Abilities:
Experience with Microsoft Office including MS Outlook, Powerpoint, and Excel software packages.
Working knowledge of ophthalmic terminology.
JCAHPO certification and experience teaching ophthalmic assisting.
