The Honors College at West Virginia University invites applications for the position of Program Specialist. The Program Specialist works in collaboration with the Assistant Director of the Office of Undergraduate Research to connect undergraduate researchers with research opportunities through the Research Apprenticeship Program (RAP) including all programmatic aspects.
In order to be successful in this position, the ideal candidate will:
Coordinate and manage the day-to-day operations and educational aspects of the Research Apprenticeship Program (RAP) such as daily contact with instructors, students and student mentors; recruit faculty mentors; oversee payments to students and enrichment funds; plan related poster symposia; provide leadership and transition into the academic year timeline and academic year events, etc.
Plan and actively advertise the program, including recruiting students and faculty advisors, through email, announcement and departmental contacts.
Supervise graduate students and undergraduates
Coordinate travel arrangements for student researcher travel
Oversee maintenance and accuracy of program website
Help with editing and collating abstracts, posters, proposals, and other programmatic documents (e.g., symposia brochures)
Assume leadership of RAP during absence of Program Director
Maintain data for University and government reporting requirements
Manage student files and applicant program files
Correspond with alumni and track their graduate school pursuits
Advise and mentor students, and provide guidance for the students interested in research
Advise students on individual plans for student success
Provide individual and/or group advising to researchers with developmental issues
Provide information and exposure to internal and external research opportunities
Develop, implement, conduct and participate in academic and social enrichment programs related to needs of program participants such as campus visits, trips, social programs, communication skills, and others as appropriate
Coordinate research presentation programs (summer and academic year) for students and faculty
Aid the Director and graduate teaching assistants in teaching accompanying courses on research
Develop and coordinate the campus awareness of research opportunities, recruitment and selection of undergraduate researchers and faculty mentors
Present programs across the campus community regarding program services
Coordinate and manage educational trips and team building events/trips and periodically escort students to conferences
Pay Grade: 16
Master's degree in a related field or an equivalent combination of education and directly related experience.
At least six months of experience in the following areas: o Program coordination o Research experience o Working knowledge of financial aid o Administrative work in higher education o Working with disadvantaged students o Working with student assessment tools o Building collaborative relationship with campus & community
Demonstrated experience in administrative/office functions, including working knowledge of MS Word and Excel
Demonstrated knowledge of research methods, timelines and guidelines and experience in academic research
Knowledge of undergraduate and graduate research skills
Working knowledge of first-generation, low-income, and ethnic minority students
Ability to work independently
Knowledge of federal financial aid policies and procedures, as well as ability to learn academic advising policies and procedures
Ability to learn graduate school application process, funding and standardized tests for application process
Ability to learn quickly institutionalized programs such as Student Success Collaborative (Navigate), Banner, STAR, Marketplace, Clean Slate, Oracle, survey monkey, Qualtrics, Wufoo, etc.
Demonstrated ability to supervise, mentor, advise and provide referrals when necessary
Awareness and respect for cultural and academic diversity
Valid driver's license
