Under the direction of the Associate Director of Project and Administrative Operations, the Donor Relations Specialist serves in a multi-functional role implementing the overall stewardship plan for the Office of the Vice President of University Advancement as well as providing data and administrative support for the office. The Specialist supports the work of University Advancement by providing written materials, coordinating and overseeing the comprehensive stewardship of all giving societies and donors there within. The Specialist supports the production of material related to stewardship, donor relations, giving, alumni engagement, and special events for University publications, both print and online. The Specialist provides data input, query and export support as well as office management and day to day operations support for University Advancement. The Specialist must be creative and enjoy working within an entrepreneurial environment that is mission-driven, results-driven and community-oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, project management, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
REPORTS TO: Associate Director of Project and Administrative Operations
RESPONSIBILITIES & DUTIES:Stewardship
Lead coordination of consistently delivering stated benefits for established Giving Society plan.
Establish and execute annual Endowment Fund Report process for the University.
Create and update accordingly the materials necessary for the comprehensive report for each fund on record.
Integrate appropriate stewardship steps into major gift plans in collaboration with Director of Advancement officers, the Assistant Vice President, and the Vice President of University Advancement.
Ensure that all donor funds are spent properly and according to the governing document for the fund.
Build and implement an industry leading, best practice and comprehensive donor relations program for the University.
Assist in the building and strengthening of relationships with alumni, donors, prospects and friends by implementing and executing strategic steps in individual plans.
Backup for the Advancement Services Specialist for data entry and processing of gifts and pledges.
Maintain integrity of all data inputs/outputs of the Raiser's Edge database by utilizing best practice protocols for data entry, data extraction and reporting. Input constituent data in a complete, consistent, logical and structured fashion. Update records in a timely manner, as information is made available.
Perform high volume queries and exports.
Create NetCommunity donation pages.
Work with finance staff to reconcile financial information between Raiser's Edge and finance office.
Create participant/constituent mini bios for senior management in support of Momentum tours
Extract needed data per management requests, while at the same time reviewing data for completeness and free of errors or omissions before sending to management.
Conduct data imports and exports to ensure integration across multiple platforms.
Under the direction of the Associate Director for Project and Administrative Operations, assist in travel arrangements and expense reimbursements for members of the University Advancement office.
Participate as a team member of the Office of the Vice President of University Advancement to provide support and office coverage.
Manage, maintain, and archive files.
Other duties as assigned for each of the areas above.
