Under the direct supervision of the Staff Associate in Academic Affairs and the Administrative Assistant II in the Design Departments, (Animation, Architecture, Communication Design, Fashion, Illustration, and Industrial Design), this position serves in a dual role supporting both offices, providing a crucial link between departments. The Administrative Assistant I provides the following support in addition to organizing, coordinating and maintaining all office functions for the Academic Affairs and Design Departments such as incoming and outgoing correspondence, customer service, and answering phones:
• Assist with the coordination, entering, and proofing of the college’s course schedules • Coordinate, enter and maintain faculty personnel data and office hours. • Provide clerical support for the college’s internal governance system. • Create and administer review board schedules. • Responsible for coordinating and entering the spring award information for the Design departments into the Access database. • Oversee the applications for the college’s travel awards and organize information sessions. • Ordering food, scheduling rooms, coordinating parking, and publicizing all departmental events (i.e. visiting artists, forums, award ceremony, etc.). • Coordinate and administer student evaluations. • General maintenance of various office equipment and supplies. • Act as department liaison with students, alumni, other college offices and external agencies. • Disseminate college policies and departmental information via bulletin boards, email, website, social media and posters. • Responsible for monitoring the departments’ web pages and updating as necessary. • Maintaining faculty personnel files in accordance with the collective bargaining agreement. • Assisting department faculty as necessary. • Maintain well organized department files. • Promote the University’s commitment to diversity, collegiality, and service excellence by: • Building effective partnerships with co-workers throughout the University by freely sharing appropriate information and providing assistance when needed. • Ensuring optimum service to all internal and external partners in response to all requests for service and information. • Maintaining an environment that is welcoming to persons of all backgrounds, nationalities, and roles.

• Associate’s or higher degree • Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitution below.
Substitution: An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
