We have an exciting opportunity to join our team as a Project Assistant.
Housed at the NYU Center for the Study of Asian American Health (CSAAH), the part-time project assistant is responsible for providing project/program support and a variety of moderately complex clerical functions. The project assistant will gather, receive, classify, reconcile and consolidate data, conduct moderate data analysis, and coordinate efforts (e.g., scheduling appointments, tracking, supervising surveys, preparing presentations, etc.) with assigned staff. The candidate is expected to compile information and prepare reports, summarize documents, respond to routine and non-routine inquiries and complaints, greet and direct visitors, etc., and perform other related duties for a supervisor or department. Provides project/program support to a supervisor, department, or organizational unit in the preparation of project relevant materials.Works under general supervision.
Event Planning Deliverables: Assisting with project and event planning and implementation events; Managing the logistics of and coordinating content development for meetings, conferences, and other project-related events; Assisting with the design, development and dissemination of project products and reports; Coordinating and monitoring project budgets; Coordinating proposal development and managing the proposal process; Assisting with project data collection activities to maintain and improve the effectiveness of the workflow and ensure customer satisfaction
Reporting Deliverables: Receives, classifies, reconciles and consolidates data; Compiles and prepares routine factual forms and reports based on information readily available; Verify information and determines report format; Identifies discrepancies and makes corrections; Research problems, issues and concerns and responds to requests for information and summarizes data based on information compiled from various sources
Clerical Deliverables: Completes petty cash vouchers and obtain necessary signatures; Obtain petty cash, prepares payments and check requests for payments to vendors as needed; May provide messenger services for the Department; Prepares and proofreads memos, reports and applications; Independently prepares responses to routine correspondence; Develops document for presentations or meetings; Maintains routine calendar, schedules appointments, assist in preparing for conferences; Assist in preparing for conferences (checking the logistics and technical support, ordering and setting up food, etc); Maintains office filing and storage systems by sorting, recording, and filing written material in organized fashion; Retrieves material from files upon request and keeps records of the movement of file materials; Opens, sorts, and routes and distributes mail to the appropriate parties; Makes and provides clerical support to the department/unit (photocopy, fax, mails, and files, data entry, sorts and distributes mail, etc.) and other related duties as needed; May order supplies and maintain inventory for the office
Demonstrates knowledge of the organization and understands Service Standards and incorporates them into the performance of duties
Performs and participates in other job related duties as required
To qualify you must have a High School Diploma or the equivalent.
Minimum of 1 year related experience in an office setting or the equivalent combination of education and experience.
Proficiency in using various Microsoft Office applications such as World, Excel, Access, Power Point and Outlook. Familiar with Internet applications.
Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external partners.
Ability to work within a team environment as well as independently.
Time management skills and ability to work well under pressure.
Associate degree in a related field with 2 years of related experience in an office setting.
Qualified candidates must be able to effectively communicate with all levels of the organization.
