The Payroll Assistant is responsible for providing direct support of payroll functions to divisions and departments. This position works closely with the Payroll Office to ensure timely collection, reconciliation, and entry of time-sheets for student employees, and hourly staff. This position works closely with the Personnel Support Coordinator to provide support for campus student employment operations. This position will interact on a regular basis with a diverse population and be responsible for knowing and applying various Federal and State laws and university policies that govern human resources and payroll activities.
Minimum Classification Qualifications:
A high school diploma or GED with training or courses in bookkeeping and office practices; OR Six months of full-time office and bookkeeping experience. The training experience must include: a) typing; b) operating a calculator or ten-key adding machine by touch; and performing arithmetic calculations, including decimals and fractions.

- Experience with Ellucian Banner-HRIS Database systems, or comparable database systems. - Experience working Higher Education.
All Listed Duties:
Assist departments and Payroll Office with clear and efficient payroll communication, collection, and data entry of student employee, and hourly employee, time keeping information. This includes, but is not limited to: -Entry of student employee position/job data into Banner within specified time frames to timely and accurately set-up for Web Time Entry. Responsible for monitoring and correcting Web Time Entry error report for payroll processing; researching and compiling data to correct rejections prior to the feed to Banner HR system.
-Issuing and collecting student employee appointment forms, including analyzing for correctness of data on the form.
-Communicating and coordinating with departments for timely entry and approval of Web Time Entry timesheets. Assisting supervisors, employees, and the Payroll Office to resolve issues and prepare Web Time Entry timesheets for approval prior to payroll processing.
-Collecting, auditing for accuracy and completeness, and calculating and processing all student employee timesheets ensuring compliance with governing agreements and laws and within the Payroll Office's given processing deadlines.
-Maintaining and managing all (student and hourly employees) timesheet/leave records according to Oregon Administrative Rules Record Retention Schedule.
-Coordinating with Financial Aid to communicate position and payroll information for student employees utilizing Federal Work Study.
-Cross-training with colleagues to serve as backup as needed.
Support the Service Center Personnel Support Coordinator in the following tasks: -Coordinating with departments to meet with student employees, to complete intake paperwork. Tasks include explaining and completing intake packet, verifying I-9 paperwork by completing page 2, making copies of W-4 and I-9 verification paperwork as presented, and returning completed paperwork to Human Resources Office in a timely manner.
-Entering direct deposit information into Banner.
-Assisting with background check processing for student employees and volunteers as needed.
-Assisting student employees and supervisors with student employee policy and procedural questions.
-Monitoring and updating student employment information on paper forms and the website.
Other duties as assigned.
Special Instructions to Applicants:
Must be willing to travel and attend training programs off-site for occasional professional development.
Must be able to work additional hours and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
Must be able to successfully pass a pre-employment background check.
