To provide administrative support to a member of the CEO Roundtable senior executive team in order to maximize his or her effectiveness and efficiency; s upports executive with strategic system-wide functions/programs.
Primary point of contact for internal and external interactions. Position requires an independent thinker and leader who has the ability to function effectively in a rapidly growing and changing environment
Works as a team member with other staff in order to provide effective coverage for all executives within the suite.
This position also communicates frequently with community, state and local government representatives.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Communicates directly and on behalf of senior executive on matters related to executive's programmatic initiatives both internally and externally. Builds relationships crucial to the success of the organization both internally and externally.
Provides a link for smooth communication between the executive office and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff, legislators, community leaders.
Assures planning and coordination of executive's complex calendar of events; schedules appointments, speaking engagements, conferences and others, and prepares detailed itineraries, complete with travel accommodations, etc.
Researches, prioritizes and follows up on incoming issues; determines appropriate course of action, referral or response.
At times, be called upon to coordinate, manage, and support various Health System initiatives. Serve as point of contact for internal and external stakeholders. May serve as executive's designate for such initiatives.
Understands corporate policies and procedures and stays current with updates. Informs executive and department about changes and assures compliance
Provides administrative support to executive manager
Including attending and taking minutes at meetings, preparing agendas, typing, and drafting correspondence, scheduling meetings and meeting rooms, maintaining up to date filing system, screening incoming calls and taking accurate telephone messages, preparing Powerpoint Presentations and Excel Spreadsheets.
Assures maintenance of travel and expense account records, including form preparation and figure reconciliation.
Reviews incoming correspondence and prepares responses
Assists with budget preparation and expense management.
Runs reports in VFA and Workday for capital and operating budgets
In consultation with executive, acts as proxy in reviewing and approving department budget expenses as per Corporate Signing Authority
Tracks and approves time cards for executive and direct reports using Kronos
Ensures executive is up-to-date on all trainings and continued learning requirements for corporate and professional licensure requirements
Collaborate and promote a team environment with other EAs on the team and with key business leaders.
Maintains up-to-date distribution lists for personal and corporate use
Maintains confidentiality at all times

EDUCATION AND EXPERIENCE REQUIREMENTS:
Completion of a business college program in Business Administration, Office Administration, Liberal Arts, Human Services, or a related field.
Five years administrative experience, preferably supporting a senior level executive. An equivalent combination of education and experience may be substituted.
