The purpose of this position is to provide a wide range of support and analysis activities to the Platform & Programs team, as well as participate on process improvement projects and national initiative roll-outs. This role also initiates department communications and is the documentation specialist for archiving and retrieval of data, reports, policies and presentations (historical and future). This role is the glue that strengthens the foundation of our 4-person team.
Duties and Responsibilities
Own and lead the Critical Dates Tracking process to ensure a ll active M&A and Recruiting/Retention contracts and critical dates are properly tracked and documented. Work directly with the team in Warsaw on system functionality as well as accuracy of event entry. Partner with the RBOM's to encourage their action on the events and be the point-person for any CDT-related questions. Periodically work with the development team to implement system updates and fixes. Act as system admin, adding users as needed, updating system hierarchy, etc.
Coordinate / compile / distribute data and reports used by various Operations leadership teams. This includes but is not limited to our monthly executive summary report, the national Connections Bulletin, the monthly HR Packet and the Regional Resources list. Ensure reports, general communications, analyses, dashboards, etc. are accurate, completed and delivered on time.
Maintain Real Estate Licensing Expiration Reports, which includes daily monitoring of individual real estate license expirations for the Company, tracking and ensuring individuals are properly renewing, and updating in our PeopleSoft system with accurate information.
Mergers & Acquisitions: Coordinate the post-close employee surveys, working with new leadership and our survey vendor on the surveys as well as coordinating on results.
Troubleshoot and resolve inquiries and requests from internal and external clients. Review and monitor department processes and procedures to identify opportunities to improve service delivery to internal and external customers.
Manage our Share Point site, our national distribution lists and act as the team expert on the content and organization of each.
Provide administrative support to the team by maintaining the network drive, assisting with project tracking, owning the methodology and governance of our documentation archives.
Assist in developing and designing communications to document or announce best practices, policies, procedures and new initiatives to the broader Operations community.
Own or partner with others on the on-going efforts related to: Iron Mountain, Poll Everywhere, etc. (This list is fluid as new vendors are signed on or terminated).
Perform other duties as assigned.
Skills and Experience
Advanced proficiency in the Microsoft Office Suite (primarily Excel) required. Experience with Campaign Logic, SharePoint, Box and Smartsheets is preferred.
Ability to conduct financial and data analysis, utilizing pivot tables, vlookups, macros, etc. Strong organizational and analytical skills. Not hesitant to look at the history of the team processes and recommend improvements.
Ability to provide efficient, timely, reliable and courteous service to customers. Quick thinker, with an analytical eye towards a problem. Ability to quickly react to a problem and find an efficient route to the solution. Provide data in a clean, concise and summarized fashion, ready for the eyes of executive-level leadership.
Excellent written and verbal communication skills and confident in their delivery of both.
Must like to work as both part of a team and independently. Self-starter who appreciates ownership and accountability for the work and projects they are responsible for.
