Manage the daily operations of the Counseling Services Office in a manner that allows for all personnel to perform their work in the best possible environment. Provide the first response to individuals contacting the department, triage and implement the appropriate actions. Keep office running efficiently and smoothly, maintaining the necessary files and budgets while assisting with the unexpected challenges encountered by faculty, students and parents.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Work in cooperation with the Director of University Counseling Services in scheduling counseling services to the undergraduate University students. Maintain office files and confidential information pertaining to students as needed. Inventory and order supplies. Prepare, as directed, departmental correspondence and reports. Collect and record counseling services expenses to balance the counseling services budget. Edit documents as directed by the Director of Counseling Services as well as generate statistics on services provided to students. Assist in building codes for the electronic database Titanium to strengthen statistical data collection and improve charting of student records.
OTHER DUTIES AND RESPONSIBILITIES:
Make contacts with students & parents regarding scheduling, canceling or rescheduling appointments. Produce correspondence and keep accurate time sheets, as required. Assist in scheduling outside referrals and arranging transportation.
The work hours for this position are from the first day of Salve Regina University's academic year through the last day of senior week, 35 hours per week, plus four additional weeks and 1 day. The office coordinator will be required to come in two weeks and one day before classes begin in August before the beginning of the fall semester and two weeks before the beginning of the spring semester in January.
A high school diploma or GED and at least two years of office experience are required. One to two years' college experience is preferred. Knowledge of Microsoft Office software is required. Have an interest in working with the traditional college-age population as well as staff, faculty and community interactions. Strong oral and written communication and organizational skills are required. Must be able to multi-task, handle stress and work in a team environment. Confidentiality is of the utmost importance.
