The University of Cincinnati is seeking an Executive Staff Assistant to aid in administrative responsibilities of multiple academic support units. This is a part-time position to work three or more days per week, depending on volume of work, 15-18 hours per week. We are looking for someone who is seeking a fulfilling yet flexible administrative support position in an environment of higher learning and innovation. The successful candidate will be someone who can become familiar with university administration and with budgetary, academic, and shared governance units among others. The Assistant will work closely with the Associate Provost, Faculty Senate Chair, and other academic officials. This position will be able to work under the general supervision of those individuals to assist in the planning and coordination of operational activities of substantial variety and complexity. The Assistant will be able to coordinate efforts between the Associate Provost, Faculty Senate Chair and the various senate representatives, faculty at-large, administrators, and other units across the university. The Assistant should also show initiative and work independently and with others in the university on tasks assigned.
Collect and post information to update various university websites including the Faculty Senate University Website and SharePoint Site in a timely manner.
Develop and update archival records of Faculty Senate for planning purposes and to forward to University archives on an annual basis.
Assist in managing workflow and Faculty Senate committee responsibilities, including the running of the Faculty Senate meetings and elections.
Assist in overall communication including routine communication to faculty, administrators, and other units as well as in generating publicity on behalf of the Faculty Senate and Associate Provost.
As part of office management duties, review and facilitate procedures and practices, identifying problems and recommending solutions.
Meet on a regular basis with the Associate Provost and Faculty Senate Chair for updates and new initiatives.
Coordinate the use of facilities and equipment.
Receive and reconcile expense statements via the university travel and expense management system.
Review and monitor expenditures on supplies, equipment, etc.
Perform other related duties based on unit needs.
Bachelor's degree with one (1) year experience; -OR- Associate's degree with three (3) years' experience -OR- five (5) years' experience. Experience must be in high-level administrative support.
Proficiency in MS Office, University website management, and university software programs, including basic expense reporting and sharepoint
Detail oriented and comfortable working cooperatively and independently
Ability to analyze operating practices to improve efficiency
Exceptional communication and organizational skills
Occasional lifting up to ten pounds
This position will be a professional position paid at an hourly rate.
