The Administrative Coordinator will provide administrative support for Dr. Katherine Nathanson, Dr. Justin Bekelman and for the administrative functions of a large multi-investigator grant in the Abramson Cancer Center. The purpose of this position is meant to provide administrative support with scheduling and organizing activities, meeting organization (in-person, videoconferencing and other), organizing and processing travel and reimbursement requests, manage correspondence and documents, drafting letters and other reports, and assist with grant and manuscript preparation.
Primary duties will include: * Support of all administrative functions including: answering phones, calendar management, scheduling travel, managing correspondence and scheduling couriers, processing expense reports and reimbursements, meeting/event planning, creating or modifying business documents, ordering office supplies, handling teleconference and mobile media setups, acting as a liaison for remote access issues. * Coordinate and maintain organized files in compliance with UPenn and government regulations. * Use and understand Microsoft Office, Excel and other software platforms. * Assist in grant and manuscript preparation and grant reporting. * Prioritize and organize emails and other correspondence for the PI. Maintain current contact lists * Take meeting minutes and complete electronic and hard copy filing of pertinent documents. * Assist in website development and maintenance. * Assist with documents that require frequent up-date, such as CV, biosketch and other activities * Assist with organization and scheduling for outside speakers and visitors * Assist with all aspects of hiring, placing ads, organizing travel schedules, schedules for visiting, working with HR and visa office as needed. * Complete required trainings such as HIPAA, Benbuys, and other necessary modules in Knowledge Link. * Responsible for compliance with applicable University of Pennsylvania (UPenn) Policies and procedures.
Position Accountability/Scope: 1. Consistently interacts with Drs. Nathanson, Bekelman and P01 investigators in organizational and administrative support capacities. This role will spend 60% of the time supporting Dr. Nathanson, 20% of the time supporting the P01 study and the additional 20% will be dedicated to supporting Dr. Bekelman. 2. Advanced knowledge and understanding of business processes and requirements. 3. Handles potentially confidential or business-sensitive information. 4. Maintains and manages calendar, including meeting and travel scheduling and domestic and international travel arrangements for Investigator and lab personnel. 5. Proactively identifies and resolves scheduling conflicts.
