Rutgers, New Jersey Medical School is seeking an Administrative Analyst IV for Cell Biology and Molecular Medicine. The Administrative Analyst IV will Perform administrative, financial and support services within the department.
Among the key duties of this position are the following:
Assists in the analyses of statistical, financial and operating reports to determine work backlogs, substandard operations and/or other unfavorable conditions.
Performs cost analysis on laboratory supply purchases in order to minimize duplicate orders and promote cost savings.
Trouble-shoots purchasing problems through interactions with the Purchasing Department and individual vendors.
Assists in the preparation of financial expenditure reports that involves reconciliation of salaries, fringe adjustments and close out of encumbrances.
Provides administrative, financial, analytical, computing and staff support for the department. Collects data, gathers and analyzes information, performs data entry and retrieval, maintains databases, and develops tables and graphics as needed.
Assists in monitoring and reconciling expenses in order to identify potential budgetary problems. Recommends corrective action and assists in their resolution. Uses on-line financial systems.
Inputs purchase requisitions, expense reimbursements and work orders consistent with Rutgers policies and with funding agency guidelines. Follow-up with standing orders, payment of invoices, reimbursements and order status.
Completes Payroll timesheets, maintains department Payroll records and assists in investigating and resolving Payroll problems.
Assists with the preparation of budgets for grant applications and with grant financial management.
Assists with the reconciliation and preparation of expenditure reports and other reports within prescribed guidelines.
Performs other duties as assigned.
Minimum Education and Experience:
Bachelor's Degree plus one (1) year of professional experience involving the review, analysis and evaluation of budgets, organizations, and administrative practices, and the recommendation of improved methods, preferably in a large business, government agency or educational institution.
Additional related experience may be substituted for the educational requirement on a year for year basis.
Required Knowledge, Skills, and Abilities:
Must be computer literate and be able to become proficient in computer applications as required by the department or unit.
Physical Demands and Work Environment:
PHYSICALDEMANDS: This position involves prolonged standing, walking and sitting, as well as use of office equipment. Some stooping, reaching, climbing and bending. Occasional lifting of 20 pounds to a height of 6½ feet. Hearing and speech capabilities necessary to communicate with other staff in person, on the telephone and by e-mail. Vision capable of viewing computer monitors, charts, forms, text and numbers for prolonged periods. Must be available to work flexible hours.
WORKENVIRONMENT: Must be available to work weekends, flexible hours on short notice, and holidays.
