Summary of Duties and Responsibilities:
The College of Agriculture and Life Sciences at Iowa State University is seeking applications for an Administrative Specialist to the Dean of the college and Director of the Iowa Agriculture and Home Economics Experiment Station (IAHEES). This position will act as the liaison between the Dean's Office and the President's office, the Provost's office, other Deans, Directors, Department Chairs, support staff, industry, government, other institutions, alumni, and the public. Liaison responsibilities may consist of a sensitive, confidential and high-profile nature. This position must be cognizant of dealing with confidential subject matter and/or personnel matters, responding to questions, and interpreting policies and procedures.
The Dean Administrative Specialist will support the Dean by tracking, prioritizing, and managing the Dean's workflow; respond to requests and inquiries on behalf of the Dean; resolve diverse problems and situations; brief the Dean regularly on deadlines; prepare for meetings; manage all scheduling for the Dean; screen and direct all incoming communications; coordinate all travel arrangements; and manage the office personnel. This position will also prepare and/or work on special reports as designated by the Dean, gather and summarize necessary data for reports, analyze the information and provide the Dean with recommendations on the situation/information. This position leads the Dean's suite administrative support team.
The successful candidate will have the ability to anticipate and address the needs of the Dean by utilizing sound, independent judgment and innovation while working under pressure and maintaining a professional demeanor. The candidate will have the ability to understand, analyze, communicate and coordinate highly complex issues and information to a diverse group of individuals. All college employee are expected to interact collegially and maintain the highest standards of integrity and ethical behavior.
Required Education and Experience:
Bachelor’s degree and 2 years of related experience; OR a combination of education and/or related experience totaling 6 years. Experience must be at a comparable level and directly related to the duties of this position.
Preferred Education and Experience:
Experience in a complex administrative setting providing support to a senior administrator.
Experience with project management.
Degree in Business Administration or related field.
