Assist the Dean of Undergraduate Studies with the day-to-day clerical and administrative activities of the office in accordance with University policies and procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Assist the Dean in the performance of general office duties.
Serve as the initial contact person for students, administrative staff and faculty seeking assistance from the Dean, thus ensuring prompt handling of all matters.
Carry out the operation activities of the Office of the Dean.
Maintain and organize records of the committees/councils chaired by the Dean.
Record day-to-day expenditures appropriate to the budget of the Dean.
Maintain and monitor the Dean's calendar of activities.
Collect and maintain files of course syllabi for all full and part-time faculty members.
Identify necessary tasks and initiate appropriate action to facilitate accomplishing the responsibilities of the Dean of Undergraduate Studies.
Assist all faculty members, as appropriate, in the performance of their general duties.
Assist in planning and executing all events managed by the Office of the Dean of Undergraduate Studies.
Manage statistical data related to course evaluation process.
OTHER DUTIES AND RESPONSIBILITIES:
Answer questions from faculty and staff regarding academic programs and procedures.
As directed, conduct basic research to assist the Dean in problem-solving and reporting, including research on student records/histories, gathering information about peer institution policies and practices, etc.
Perform other duties as may be assigned by the Dean.
A high school diploma or GED with a minimum of 3 years clerical and administrative experience are required. Experience in higher education is preferred. Associates or Bachelor's degree preferred. Proficient computer skills required, with knowledge of Microsoft Office (Word, Excel, PowerPoint) and capacity to learn and use campus information technology. Must have the ability to record and accurately transcribe notes of meetings and compile and prepare statistical data. Strong oral and written communication, organizational and interpersonal skills are required. Must be able to work independently with minimal supervision. Confidentiality is of the utmost importance.
This position could, on occasion, require bending, reaching, ascending and descending stairs, standing, walking, pushing, pulling, lifting, talking, and hearing.
