Departmental Overview The Coleman Fung Institute for Engineering Leadership, launched in January 2010, prepares engineers and scientists from students to seasoned professionals with the multidisciplinary skills to lead enterprises of all scales, in industry, government and the nonprofit sector. The Fung Institute is headquartered in UC Berkeley's College of Engineering, which is recognized for its educational and research excellence and is consistently ranked among the top three Engineering colleges in the United States.
The Fung Institute offers educational programs that combine leadership coursework in technology innovation and management with intensive study in an area of technical specialization. This integrated knowledge cultivates leaders who can make insightful decisions with the confidence that comes from a synthesized understanding of technological, marketplace and operational implications.
The Fung Institute will support the development of additional College of Engineering educational offerings emphasizing engineering leadership, including undergraduate courses, certificate programs, and a range of professional education options, including expanded executive education.
This is a new position, designed to provide comprehensive administrative, scheduling, and event management support to the Fung Institute and its programs, particularly the Executive Education program.
The Project Coordinator plays a critical role in the successful day-to-day operation of the office by providing a high level of administrative support to Fung Institute Executive Director Wayne Delker and Academic Director Keith Gatto of Executive Education. The position requires balancing multiple, often simultaneous, activities and prioritizing work to ensure that tasks are completed on time. The position requires a high level of professionalism, excellent interpersonal, and communication skills, the ability to support and work in a dynamic environment, and a high degree of personal ownership to ensure quality work products are delivered and support activities are performed in an organized manner.
Responsibilities 40% Office Operations/ Project Coordination: ** Oversees all aspects of Executive Education office administration, procurement of supplies, equipment and outreach. Keep running totals of all swag. ** Responsible for all administrative support for Executive Education including interfacing with ERSO, Finance, COE Marketing and other Berkeley offices as needed. ** Provides onsite assistance and information to international visitors/guests as needed. ** Responsible for program delivery including event planning such as procuring venues and caterers, interfacing with attendees and vendors, and ensuring that all invoices and guest speakers are paid. ** Maintain EPE website and marketing materials. ** Be available and present all day on days when EPE programs are being offered. ** Responsible for all logistics for programs including space and catering. ** Interface with potential students. Follow up on inquiries from incoming email and call out to facilitate students' enrollment process.
35% Administrative Support: ** Schedules all of the Executive Director's meetings. Provides comprehensive calendaring and related administrative support to the ED. ** Acts as his/her liaison with the UC community and the public. ** Coordinates communications and pertinent data among the ED's subordinate management staff which may be highly confidential and critical. ** Provide coordination and support for Directorate level meetings including assembly of background and/or supporting documents/materials, and document minutes. ** Functions as the gatekeeper, ensuring that only those issues that warrant the attention of the ED are brought forward. ** Drafts, transcribes, proofreads, edits and maintains correspondence, reports and meeting minutes; responds to written inquiries; assists with the preparation, proofreading and editing of reports and proposals; maintains on-line and hard copy filing systems; screens, prioritizes, and follows up on phone calls; assists with PowerPoint and other formal presentations. ** Provides administrative support to the Director of Executive Education including but not limited to calendaring, preparing meeting materials and correspondence, and filing.
25% Finance: ** Oversees the ordering of general office equipment and supplies including procurement card and BearBuy purchases. ** Assists with completing transactional processes, including, but not limited to, travel reimbursements, entertainment and non-entertainment reimbursements, and purchase orders. ** Participates in the development and revision of standard operating procedures and guidelines.
