Rutgers, the State University of New Jersey is seeking a Program Support Specialist for the Graduate Medical Education Department at the New Jersey Medical School. The Program Support Specialist will report to the Program Administrator in ensuring compliance with Accreditation Council, institution, and program requirements. This position requires a comprehensive and detailed understanding of GME policies and procedures. The Program Support Specialist position coordinates and performs administrative activities that support both NJMS and GME offices and Programs. This position liaises with the following entities within the scope of responsibility: Associate Dean of GME, Chair of GME Committees, GME Program Directors and Coordinators, NJMS Deans Office, NJMS Finance Office, and Rutgers Payroll Office as well as other relevant offices.
Coordinates the housestaff reimbursement process. Reviews and processes all reimbursement requests (fingerprinting, USMLE transcripts, extra on call, backup pay,etc.) Maintains a database of all reimbursements.
Coordinates the registration of permits for all medical housestaff with the New Jersey State Board of Medical Examiners in accordance with NJ State statures and RBHS policies.
Coordinates the rotater housestaff onboarding process.
Coordinates the housestaff training verification process and the housestaff procedural competency process.
Coordinates the primary source verification of medical/dental school graduation for all incoming housestaff.
Maintains database and binder of active Program Letters of Agreement as required by the ACGME.
Assists housestaff with payroll related inquiries and initiates resolution for issues identified.
Tracks disbursement of housestaff meal allotments by maintaining a database of meal allotment requests forwarded to Program Coordinators, and to the University Hospital Dietary Services.
Prepares monthly minutes of the Graduate Medical Education meeting for review by the Associate Dean for Graduate Medical Education.
Assists the Program Administrator with the new housestaff orientation and credentialing process as needed.
Coordinates FIT testing for all housestaff annually.
Maintains permanent housestaff records and other files by ensuring documentation is updated and filed within scope of responsibility.
Assists the Program Administrator and Associate Dean for Graduate Medical Education as deemed necessary.
Minimum Education and Experience:
Bachelor's degree in Business Administration, Health Administration or a related discipline, plus three (3) years of related experience in a business office, government agency, university setting is required.
Equivalent experience, education and/or training may be substituted for the education requirements.
Required Knowledge, Skills, and Abilities:
Experience using Microsoft Word, PowerPoint, Access and Excel.
Communication with internal/external clients.
Experience in Graduate Medical Education is preferred.
Experience using New Innovations (Residency Management Software Program) is a plus.
Physical Demands and Work Environment:
Must be able to lift or exert force up to ten (10) pounds.
