Department/College Description The College: The B. Thomas Golisano College of Computing and Information Sciences is the largest of RITs nine colleges, and has an enrollment of over 3,000 undergraduate students and 800 graduate students. The college, with over 100 faculty members, is housed in a modern facility equipped with numerous teaching and research laboratories. The college is home to the departments of Computer Science, Computing Security, Information Sciences and Technologies, Software Engineering, the School of Interactive Games and Media and a college-wide Ph.D. program, providing many opportunities for cooperation and research collaboration within and beyond the college. The Department: The Information Sciences & Technologies Department (IST) is one of six administrative units within the College of Computing and Information Sciences and oversees academic and curricula development for both undergraduate and graduate students pursuing degrees in three undergraduate BS programs, three graduate programs, and two advanced certificate programs. The IST department provides leadership, administrative, financial, and logistical support to over 700 undergraduate and graduate students with 30 faculty and 6 staff in Rochester, and also provides support of the departments degrees at RITs global campuses in Croatia and UAE. The department demonstrates the universitys commitment to the teacher-scholar model; it is among the university leaders in terms of grant generation and publications, and the faculty consists of several teaching award winners and professional service leaders including ACM president and ACM SIG chairs. The department is also home to several labs and research centers including the Center for Accessibility and Inclusion Research, and the Future Everyday Technology research lab.
Detailed Job Description
Provide administrative support for the IST Graduate Program
Serve as the point of contact for the IST Department Graduate Program
Work closely with Graduate Enrollment, International Student Services , ELC and government sponsored programs with regard to graduate students
Provide organizational, communication and coordination support for the IST Graduate program director and advisor.
Manage and process all incoming graduate student records during the admissions process
Collaborate with Graduate Enrollment Services to plan and execute IST graduate student orientation program.
Coordinate and organize monthly graduate student meetings as needed.
Interact with Graduate Enrollment, ISS and ELC to ensure that graduate students have all necessary admissions documentation and required testing for enrollment.
Manage waitlist and registration for graduate students.
Prepares correspondence for graduate students for federal, state and government agencies as needed.
Prepare worksheets for new incoming graduate students. Update worksheets for graduate students as needed.
Prepare all graduate and undergraduate independent study paperwork and registration. Ensures that students are eligible for independent studies.
Manage capstone and defense process for graduate students.
Process forms for graduate students. This includes all drop/add, independent study, change of grade and full time equivalency forms.
Monitor graduate students to ensure 7-year rule is followed. Contacts the student if necessary.
Assist the graduate advisor with the preliminary certification process (MS and advanced certificates).
Manage Graduate Co-op process. Ensure that students are eligible to perform co-op.
Work in close dialog with the Financial Aid and Student Financial Services offices to manage the graduate merit scholarships process.
Assist Graduate Director and advisor with the academic action process. Prepares and sends correspondence to students as needed.
Assist the UG advisors with COP and Transfer student process
Other Duties as assigned
Provide general administrative support
Assist with the registration of incoming first-year students as needed.
Assist with main office coverage when needed.
Required Minimum Qualifications
Minimum of 5 years working in an office-type setting, preferably in higher education
Excellent interpersonal skills.
Experience with academic policies and practices, student tracking and record keeping systems.
Evidence of organizational and problem-solving skills and the ability to work collaboratively as well as independently.
Intermediate-level proficiency in the use of Microsoft Office and the Internet.
Excellent time management and organizational skills, initiative and resourcefulness.
Flexibility and the ability to be able to perform successfully when challenged by changing workflow priorities.
Effective oral and written communication skills.
Intermediate-level proficiency in the use of PeopleSoft and SIS.
