The Program Assistant in the School of Business and Law is responsible for administrative, clerical, and other support services for faculty and staff in Business Administration, Business Management, Economics, and the Entrepreneurial Studies Institute. The Program Assistant also assists, as needed, in the Legal Studies Institute and the Homeland Security and Criminal Justice Institute.
Job Duties and Responsibilities:
Provide telephone coverage, backup office coverage, and support
Respond to inquiries via email and direct callers to appropriate personnel.
Take and deliver messages promptly and accurately
Greet and welcome visitors, determine their needs, provide general information, and direct inquiries to the appropriate faculty or staff.
Interact with students and faculty to ensure dissemination of accurate information and to respond to their needs for directions and services.
Receive and distribute mail to the appropriate faculty/staff.
Assist faculty by providing information, supplies, and services.
Provide support in planning, developing, and logistics of events as well as engaged learning activities.
Maintain frequent and close communication with faculty and staff to ensure activities and events are developed in a timely manner according to the proposed calendar of events and activities.
Utilize Colleague (our student management system) to access information, respond to inquiries, and run queries.
Assist in updating and maintaining the School of Business and Law bulletin boards and display cases.
Serve as a backup resource for The Hatchery and Business Resource Center, the Legal Studies Institute, and the Homeland Security and Criminal Justice Institute to serve faculty, staff, students, and visitors.
Other duties as requested.
Position hours are:
Monday - Thursday: 11:00 a.m. to 7:00 p.m.
Friday, from 8:30 a.m. to 4:30 p.m.
(Hours can periodically fluctuate based on the need of the School.
High School diploma or equivalent.
For the Assistant, I level - a minimum of one (1) year of clerical/office experience. Must have experience with Microsoft Office and ability to type accurately.
For the Assistant II level - a minimum of three (3) years of relevant experience.
Ability to work with minimal supervision.
Demonstrated computer skills and experience, using a variety of software packages.
Proficiency in Outlook, Excel, and PowerPoint.
Demonstrated customer service experience.
Including problem-solving and conflict resolution skills.
Ability to deal tactfully and effectively with students, faculty, administrators, government agencies, business/industry representatives, community organizations, and the general public.
Effective oral, written and interpersonal communication skills.
Including grammar, spelling, punctuation, proofreading and editing skills.
Proven ability to multi-task and meet deadlines in a fast-paced environment.
Some web design and graphics experience, including Photoshop, InDesign, Acrobat, Acrobat Premier, and Publisher.
Associate’s degree is preferred
Hours Per Week: 40
Work Schedule: Monday-Thursday: 11am-7pm and Friday: 8:30am-4:30pm
